Summary:
The Operations Administrator is an onsite operational administrative position that will support the community office and sales team. This role requires the candidate to work 20-30 hours a week Monday through Saturday with hours to accommodate business needs. The role supports the General Manager (GM), Community Manager (CM) and the Sales team in the day-to-day general business operations of Simple Life.
Key Responsibilities:
The candidate will be the first point of contact for both the Sales and Operations office for all resident and customer phone calls and office visits. Responsible for arranging the transfer of calls and messages and tasked with setting appointments as well as answering general questions.
Sales:
- Assist sales team with appointments, answer all incoming calls, directing calls as needed to Sales/CM, distribute voice messages.
- Answer questions and meet and greet customers upon arrival. Arrange appointments for sales associates
- Confirm all appointment 24 hours before appointment is set to arrive
- Prepare marketing packages for the customer to take home
- Receive all incoming gate calls for sales tours
- Ensure liability forms are completed by each buyer prospect and are stored electronically in buyer contact in CRM
- Stock all sales collateral, order collateral when needed
Office:
- Meet and greet all customers and redirect as required
- Answer all incoming phone calls
- Ensure communication levels are shared among all departments
Operations:
- Manages the Village-managment@simple-life.com email and assist residents with general questions, concerns, general information, and assistance
- Assist residents with any issues or direct them to the CM or GM with issues and resident concerns
- Monitor and stock both The Village and The Hamlet coffee bars daily, and ensure supplies are ordered for both clubhouse’s hospitality bars, inventory and order office supplies
- Maintain marketing collateral at The Hendersonville Chamber of Commerce and Hendersonville Visitors Center.
- Monitor clubhouse and gate cameras daily for functionality. Check several times per day
- Check office mail and distribute mail to designated office/person and mail shed for residents
- Become proficient in Door King software and program remotes and or trouble shoot gate remotes and codes for residents. Assign new codes/remotes and responsible for monthly gate remote audit
- Assist CM with resident event planning, shopping, set up of events, and general communications to the residents
- Assist CM with Envoy meetings and preparation of minutes
- Maintain marketing photos on Zoho work drive
- Assist Marketing Department with social media content for outreach marketing initiatives. Archive resident event photos
- Send communication and update residents weekly with Monday update of upcoming events through Buildium.
- Process resident requests for pets and any portal changes regarding demographics with GM approval
- Attend any required meetings and calls as well as any associated training
Other Tasks:
This role is a support role and may require additional duties to be assigned by the General Manager. The ideal candidate will have a professional demeanor, warm and welcoming approach , work on our initiative as a team member, and have a positive attitude. Attention to detail is a pre requisite along with a willingness to support the community and assist the onsite team in creating an exceptional living experience for our residents.

Experience:
- Customer service: 5 years (Preferred)
