We are seeking a professional, organized, and friendly Administrative Receptionist to join our team at a dynamic modular home manufacturing company. The ideal candidate will be the first point of contact for visitors and callers while providing essential administrative support to various departments. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
- Greet and assist visitors, clients, and vendors in a professional and courteous manner.
- Answer and route incoming calls; take accurate messages and ensure timely follow-up.
- Manage and maintain front desk operations, including mail distribution, office supply inventory, and cleanliness of the reception area.
- Support administrative tasks such as data entry, filing, document preparation, and scanning.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Assist the sales, production, and operations teams with administrative duties, including generating reports, updating records, and managing project and vendor files.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide general support to other team members and departments as needed.
Qualifications:
· High school diploma or equivalent required.
· 1-2 years of experience in an administrative or receptionist role preferred.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with working with CRM software.
· Excellent verbal and written communication skills.
· Strong organizational skills with the ability to prioritize and multitask effectively.
· Professional appearance and demeanor.
· Ability to work well in a team environment.
