We are looking for a friendly, enthusiastic, and organized Office Coordinator to manage our front office. The position is responsible for a variety of administrative and clerical task. This is a customer’s first point of contact with our company. Responsibilities include answering phones, responding to email, and order processing. Multitasking, organization and accurate record keeping are essential for this position.
Key Responsibilities:
· Respond to customer inquiries via phone, email, and chat in a timely and professional manner
· Process orders using electronic based systems
· Provide customers with confirmations and follow up information
· Maintain detailed and accurate records of customer interactions
· Prepare shipping documents for all shipments (parcel and freight)
· Document and manage service calls and service schedules
· Maintain and manage all recording-based tracking systems
· Identify opportunities to improve customer service processes
· Stay up to date with product knowledge and company policies
· Other duties as requested of management
Skills and Qualifications:
· Proficiency in MS Office
· Proficiency in QuickBooks
· Knowledge of UPS WorldShip and FedEx Ship Manager
· Strong attention to detail
· Strong verbal and written communication
· Excellent organizational skills
· Ability to work independently and as part of a team
Job Requirement:
· Bachelor's degree required
· 2 years of receptionist/administrative experience required
