Calling all English majors and event planners! We are seeking a highly skilled and dedicated executive assistant to provide comprehensive support to a successful chiropractic business owner and entrepreneur who generates millions in revenue annually. This role requires not only exceptional organizational abilities and outstanding communication skills but also the ability to run personal errands for the executive, edit copy, and plan, as well as execute, events. The ideal candidate will possess a proactive approach to managing a wide range of administrative, business, and personal tasks. This candidate will encounter highly confidential information and must operate with a keen sense of discretion.
Responsibilities:
1. Administrative support:
- Manage and maintain the executive's calendar, appointments, and scheduling, ensuring efficient use of time and prioritization of tasks.
- Coordinate and arrange meetings, conferences, and travel itineraries, including making reservations, organizing logistics, and preparing necessary documents.
- Handle correspondence, including emails, phone calls, and written communication, promptly responding or redirecting as appropriate.
- Edit social media captions, podcast show notes, and blog posts.
- Prepare reports, presentations, and other documentation as required, ensuring accuracy and professionalism.
- Maintain confidential files and records, exercising discretion and confidentiality at all times.
2. Business operations support:
- Assist with the day-to-day operations of the chiropractic business, coordinating with staff, clients, and external stakeholders as necessary.
- Conduct research, gather data, and compile reports to support strategic decision-making and business planning.
- Monitor and manage office supplies, equipment, and inventory, ensuring smooth operations and identifying opportunities for cost savings.
- Collaborate with relevant departments to streamline processes, improve efficiency, and implement effective organizational systems.
- Prepare and process financial documentation, such as expense reports, invoices, and budget tracking, in coordination with the accounting team.
3. Personal assistance:
- Run personal errands for the executive, which may include grocery shopping, banking, picking up dry cleaning, picking up mail, and other errands as needed.
- Maintain the executive's vehicle in a clean and organized condition, ensuring regular maintenance and servicing.
- Assist with personal appointments and travel arrangements, ensuring a smooth and enjoyable experience.
- Gift wrapping for personal, staff, and vendor gifts.
- Light housekeeping of CEO’s office, keeping space neat, tidy, and organized.
- Keep CEO's office stocked with food, snacks, and supplies.
Qualifications:
- Bachelor’s degree (English majors are preferred!)
- Minimum of 2-5 years of experience as an executive assistant, personal assistant, or in a similar role supporting senior-level professionals
- Event planning experience
- Excellent grammatical and writing skills
- Valid driver's license and a clean driving record
- Excellent organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Strong communication skills, demonstrating professionalism and attention to detail.
- Proven ability to handle sensitive information with utmost confidentiality and discretion
- Proficient in using productivity software and office applications (e.g., Microsoft Office, Google Suite) and comfortable learning new tools and technology.
- Familiarity with Apple products (computers and phone)

Position includes five workdays per week, Monday through Friday, 8:30 – 5:30. Occasional travel required.
