Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in supporting the Associate Director with our daily operations, ensuring smooth administrative processes, and providing excellent front desk services. This position requires strong clerical skills, proficiency in Office software (Outlook, Word, Excel), and the ability to maintain a welcoming environment for clients and visitors.
Schedule
Monday to Friday, 9am to 3pm, with a 30-minute lunch break.
Responsibilities
- Support the Associate Director to complete assignments, which encompasses a large scope and variety of tasks.
- Research and gather information for the Associate Director.
- Achieve deadlines, as assigned, for projects.
- Perform data entry in Therap and on other websites the agency uses.
- Print and build menu books and training books/guides.
- Make copies, collate and laminate documents.
- Communicate with management, doctor’s offices, administrative office staff, Lane County DDS, and other entities to assist the Associate Director.
- Send emails to gather information and give directives from the Associate Director.
- Send faxes, as needed.
- Update training books and other binders and files.
- Perform clerical duties such as filing and maintaining organized records.
- Manage front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy.
- Make copies of identification and other confidential records.
- Support office management tasks, ensuring that supplies are stocked, and equipment is maintained.
- Utilize computerized systems for documentation and communication effectively.
- Maintain confidentiality of sensitive information while adhering to company policies.
- Provide administrative support to various departments as needed, facilitating efficient workflow.
- Assist with onboarding, as needed.
- Conduct interviews, as needed.
Qualifications
- Previous experience with medical field, group homes or foster homes is preferred, but not required.
- Strong computer skills with proficiency in office software applications.
- Excellent phone etiquette and communication skills, both verbal and written.
- Ability to manage multiple tasks efficiently while maintaining attention to detail.
- A proactive attitude with strong organizational skills and the ability to work independently or as part of a team.
- Must be able to pass a background check.
