Overview
The Sisters of St. Joseph of Carondelet, an international congregation of women religious whose congregational offices are in St. Louis, is seeking an Executive Assistant to provide high-level administrative support to the Congregational Leadership Team (CLT), managing their schedule, communications and key projects. The Executive Assistant will serve as a trusted partner, ensuring the teams’ priorities are met and their day-to-day operations run smoothly. This role requires excellent organizational skills, discretion and the ability to anticipate needs while multitasking in a fast-paced environment.
Responsibilities
- Serves as the primary support staff person to the Congregational Leadership Team (CLT).
- Manages the CLT’s calendar, including scheduling meetings, appointments and travel arrangements.
- Serves as the primary minute taker for the multiple corporations on which the CLT serves.
- Manages all corporation business, i.e., set up, notifications, creating agendas with the CLT liaison and ensuring clear follow-up assignments and due dates.
- Supervises and evaluates administrative assistants in the Congregational, Los Angeles and Albany offices, fostering a collaborative and professional work environment.
- Manages and tracks members’ paperwork for exclaustrations, dispensations and transfers into and out of the congregation.
- Maintains strict confidentiality in all matters, documents and information relating to the congregation and the office of the Congregational Leadership Team.
- Undertakes and completes tasks, assignments and special projects as assigned by the CLT.
- Prepares and edits correspondence, reports, presentations and other documents.
- Handles incoming calls, emails and messages, ensuring appropriate follow-up or delegation.
- Monitors and follows up on action items, ensuring progress on tasks assigned by the executive.
Required qualifications
- Exceptional organizational and time-management skills, with a keen eye for detail.
- Outstanding written and verbal communication skills.
- Ability and willingness to create and maintain an office environment that is welcoming and hospitable to management and visitors.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to work independently, exercise good judgment and adapt to changing priorities.
- Ability to work in collaboration with other employees, immediate supervisor and personnel from different departments, nurturing collaborative relationships that promote teamwork and community building.
- Discretion with all matters related to the assignment, including confidential information seen and heard; providing quality service that is person-centered, professional and confidential.

Desired education and experience
- A bachelor's degree is preferred but not required; relevant experience is considered.
- At least five (5) years of experience as an Executive Assistant or in a similar role is required.
