POSITION SUMMARY :

As a key member of the Finance team, Staff Accountant is responsible for maintaining financial records, preparing financial reports, and ensuring compliance with accounting standards and regulations. This role involves managing payroll, accounts payable and receivable, conducting reconciliations, and assisting with month-end closing activities in compliance with GAAP. This role works closely with all departments to ensure timely and financial information.

QUALIFICATIONS :

  • Bachelor's degree in accounting.
  • Advanced degree or relevant certifications are a plus.
  • Knowledge of general accounting principles, regulatory standards, and compliance requirements.
  • Proficiency in Accounts Payable management systems and tools.
  • Analytical and strategic thinking skills to analyze data, identify trends, and make data-driven decisions.
  • Excellent communication and presentation skills.
  • Ability to work collaboratively with cross-functional teams and senior management.
  • Strong leadership and team management abilities.
  • Attention to detail and accuracy in revenue forecasting and analysis.
  • Proficiency in expense recognition principles and accounting standards.
  • Bilingual in Spanish is a plus.

RESPONSIBILITIES (include, but is not limited to) :

Accounts Payable & Credit Cards

  • Review and verify vendor invoices for accuracy, proper documentation, and approval.
  • Ensure all invoices are recorded in the general ledger in accordance with company policies.
  • Prepare and process accounts payable checks, wire transfers, and ACH payments in a timely manner.
  • Monitor and track due dates to ensure payments are made promptly and avoid late fees.
  • Communicate with vendors regarding payment inquiries, discrepancies, and account issues.
  • Maintain and update vendor records, ensuring accurate contact and banking information.
  • Work to resolve any outstanding issues or disputes with vendors efficiently.
  • Reconcile accounts payable sub-ledger to the general ledger on a monthly basis.
  • Assist in the preparation of financial reports related to accounts payable, ensuring accuracy and completeness.
  • Prepare and submit required reports to management, such as AP aging reports and payment summaries.
  • Ensure that all invoices are properly coded to the correct expense categories and cost centers.
  • Work with other departments to allocate expenses according to the appropriate budget lines.
  • Assist with the month-end and year-end closing processes by ensuring all AP transactions are recorded in a timely manner.
  • Prepare supporting schedules for accounts payable during month-end and year-end closing.
  • Assist with year-end audits by providing documentation and reconciliations as needed.
  • Assist with preparing and maintaining accurate records for tax reporting, including sales tax, 1099 reporting, and other applicable tax filings.
  • Corporate Credit Card Reconciliation.
  • Corporate Credit Card uploads.
  • Grant Management

    Responsible for managing all aspects of grant management, including overseeing the financial aspects of grant-funded programs, ensuring that funds are managed in compliance with grant agreement, government regulations, and congregation policies. This role involves preparing financial reports, tracking expenses, reconciling accounts, and supporting grant compliance and auditing activities.

  • Track and record all grant-related financial transactions in the general ledger.
  • Ensure proper allocation and coding of expenses related to grant-funded projects.
  • Monitor and track grant budgets to ensure that expenditure remains within approved limits.
  • Ensure compliance with all grant terms and conditions, including allowable costs and budget restrictions.
  • Prepare and submit regular financial reports for grant-funded programs, as required by grantors or funding agencies.
  • Work closely with program managers to gather and summarize financial data for grant progress reports.
  • Provide detailed financial analysis and explanations for any variances between actual and budgeted amounts.
  • Reconcile grant-related accounts on a monthly, quarterly, and annual basis to ensure accuracy and consistency with the grant budget.
  • Assist in the preparation of schedules and documentation for audits related to grants.
  • Ensure that all financial data is accurately documented and can be easily referenced for audit purposes.
