Administrative Support & Guest Services Coordinator Position Overview
The Administrative Support & Guest Services Coordinator position performs administrative support functions to support the efficient and smooth operation of the administrative office of the Sisters of the Holy Names. This position also provides hospitality to visitors and assists guests needing overnight accommodations at one of three Marylhurst Commons campus locations.

Key Responsibilities:
Hospitality
Provides hospitality to visitors at the SNJM Province office including greeting, welcoming, and directing them appropriately. Coordinates hospitality for on-campus guests, including accommodation requests, meeting set-up/clean-up, housekeeping, and providing continental breakfast. Manages room assignments and prepares rosters, signage, and welcome packets for guests. Assists as needed with special requests for sisters and guests attending on-campus meetings. Maintains a clean and organized reception area that reflects SNJM's value of providing a welcoming presence to guests.

Administrative Support
Inventories and orders kitchen and office supplies for all Province staff and oversees general upkeep of project room. Manages all office equipment, including copy machines, postage machines, and other office machinery, including maintenance and repair. Offers support and training to staff on equipment and office procedures. Assists as needed with daily mail pick-up and distribution. Posts afternoon mail and delivers to post office. Accepts daily deliveries and manages Fed-Ex account. Responsible for day-to-day office operations, including scheduling meeting spaces and assisting staff as needed with mailings and clerical tasks.

Education: High School Graduate or GED.

Experience: Minimum of 2 years of office-related experience.

Skills, Knowledge, and Abilities:
  1. Must be supportive of the mission of the Sisters of the Holy Names of Jesus and Mary.
  2. Must model SNJM Guiding Values in carrying out work activities and responsibilities.
  3. Must be able to respect and maintain confidentiality of sensitive information.
  4. Exceptional interpersonal, organizational, and verbal communication skills.
  5. Demonstrated skill with writing and editing in English, including proficiency in grammar, spelling, and punctuation.
  6. Proficiency with Microsoft Office software, Adobe Acrobat Pro.
  7. Flexibility and adaptability to different situations and changing priorities.
  8. Enjoys working with people; able to welcome guests and assist them as needed.
  9. Ability to work both independently and as part of a team.
  10. Ability to analyze and prioritize work assignments.
  11. Able to problem solve and offer solutions.
Work Schedule: 40 hours per week, Monday through Friday.

Pay Rate: $24/hour
