About the Role:
We are looking for a highly organized and motivated Associate Event Manager to join our dynamic marketing and events team. This role will support the planning and execution of corporate events, including our user conference, sales kick-off, and incentive event in addition to high-impact industry trade shows. The ideal candidate is passionate about event technology and strategic event execution, has excellent communication skills, and thrives in a fast-paced environment.
This role requires strong technical skills in event management platforms to lead registration, call for speakers, exhibitor and speaker portals, and other event operations. The Associate Event Manager will also support sponsor deliverables working in close coordination with external agencies and handle event-related inquiries via the event email inbox.
What You’ll Do:
Event planning and execution: Assist in the planning, coordination, and execution of in-person events, ensuring all logistical details are managed effectively.
Event technology & registration management: Take ownership of event management platform (RainFocus) to oversee registration, call for speakers, exhibitor and speaker portals, and support attendee and sponsor communications.
Sponsor deliverables: Support sponsor fulfillment by tracking deliverables, ensuring benefits are executed, working closely with external agencies.
Vendor and venue coordination: Work with venues, caterers, production teams, and other vendors to help secure contracts and ensure smooth event operations.
Marketing and promotions: Collaborate with the marketing team to develop promotional materials, email campaigns, and social media content to drive event attendance.
On-site & Event support: Provide hands-on support for in-person events, including set-up, check-in, troubleshooting, and overall event execution.
Budget management: Assist in tracking event expenses, processing invoices, and ensuring budget adherence.
Post-event reporting and analysis: Gather feedback, track key metrics, and support the development of post-event reports to assess performance and improvements.
Event inbox management: Monitor and respond to event-related inquiries in a timely and professional manner.
Team collaboration: Work closely with cross-functional teams, including sales, marketing, and product, to ensure event success.

What You Need to Succeed:
- 3 years of experience in event planning, marketing, or a related field (experience in B2B tech events preferred)
- Strong passion for event technology and ability to manage complex event platforms
- Experience with RainFocus (preferred) or similar event management platforms to lead registration, speaker management, and exhibitor portals
- Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously
- Excellent verbal and written communication skills
- Ability to work independently, take initiative, and collaborate in a team environment
- Familiarity with Salesforce, Pardot, Power BI, or other digital marketing tools is a plus
- Willingness to travel for events as needed (up to 20%)
