Description
Works collaboratively with Program Directors, State Office Managers (SOMs), and Administrative Assistants (AAs) as assigned, to ensure proper and proactive recruitment of direct care professionals, including team leaders.
Provides direct supervision to substitute staff while they are employed by the agency and to new full- and part-time staff during initial orientation period.
Ensures that all staff receives training that is required prior to deployment to initial work assignment. Ensures that all staff is enrolled in initial mandatory training sessions that may be received after initial deployment.
Ensures that substitute staff receive all required training during their tenure with the agency. Works cooperatively with Program Directors and other supervisors to ensure staffing plans are developed for each assigned location and that staff are deployed at proper levels and with proper training.
Provides support to supervisors to fill vacant positions with staff that are trained and have the requisite skills to support the people to whom they are deployed.
Ensures that staffing plans for each individual served are consistent with funding requirements. Ensure that staff works no more than 40 hours per week except in emergency situations.
Essential Functions :
- Assures adherence to SJCS mission, core values, guiding principles, business standards and administrative practices
- Work collaboratively with Program Directors and other administrative personnel to facilitate requisition, recruitment and retention of direct service professionals.
This may include joint interviewing with responsible directors or supervisors, participation in team recruitment activities and other administrative activities related to the interviewing and recommendation for employment.
Activities should not include reference checking or other human resource administrative activities assigned to SOMs or AAs.
Assists Residential and Day Team Leaders and other administrative staff with scheduling / maintaining coverage to ensure the health, safety and quality support of people served.
Ensures compliance with approved staffing plans. Works with managers to deploy staff in a manner that avoids overtime pay status for staff.
- Provides direct supervision to all substitute staff.
- In collaboration with management team ensures compliance with the recruiting / retention plan developed in cooperation with the Home Office related to the strategic plan.
- Ensures accurate time and attendance is recorded in E-time for staff in orientation and for substitute staff based on their deployment.
Ensures that supervisors of staff assume this responsibility upon permanent placement of staff.
Documents initial orientation training information in staff training files. Establishes dates for all initial mandatory training for new staff, communicates those dates to the new staff and his or her supervisor in writing and records those dates in the staff training database.
Records completion dates for all training completed by new staff while he or she remains under his or her supervision.
- Records data in agency data-based systems, as assigned. Reviews agency labor reports, overtime reports and staff vacancy reports and provides summary reports to program directors and state director on a bi-weekly basis.
- Ensures maintenance of physical office space and equipment.
- Performs other job related duties as assigned.
Qualifications
- High School diploma / required; or B. A. preferred
- Requires three years of administrative experience that includes employment and scheduling operations.
- Must meet SJCS and funding jurisdiction current requirements for criminal background / records check;
- Valid health certificate to meet current funding jurisdiction requirements;
