Job Summary
The Medical Staff Database Coordinator is responsible for managing, maintaining, and optimizing the medical staff database system. This role ensures the accuracy, security, and accessibility of medical staff data, facilitates credentialing and privileging processes, and supports compliance with regulatory standards. The coordinator serves as a key liaison between the medical staff, administration, and IT to support effective communication and data management. The Medical Staff of SRH is made up of over 700 healthcare providers practicing at Skagit Valley Hospital (SVH), a 148 bed acute care hospital; Cascade Valley Hospital (CVH), a 47 bed acute care hospital; 23 Skagit Regional Clinics (SRC) that report as departments to SVH; 2 Wound care centers; Arlington Ambulatory Surgery Center; Mount Vernon Surgery Center; and SRH Regional Cancer Care Center. This position develops a positive working relationship members inside and outside the organization to communicate information regarding the medical staff members as requested. Maintains a high degree of accuracy and data integrity, is able to appropriately handle unexpected issues efficiently and effectively, and represents the organization in a professional manner. This position reports directly to the Regional Director of Medical Staff Services.
Essential Functions
Database Management - Maintain and update the medical staff database with current and accurate information, including credentials, licensure, certifications, and privileges. Ensure the integrity and security of the database by implementing proper data entry and quality control protocols. Generate reports and dashboards for administration, accreditation surveys, and quality improvement initiatives. Collaborate with IT to address technical issues and system upgrades.
Credentialing and Recredentialing - Verify the education, training, licensure, certifications, and work experience of medical staff. Obtaining Peer Review References. Obtaining all background reports and queries. Ensure compliance with healthcare regulations, accreditation standards, and organizational policies. Facilitate recredentialing processes to maintain staff compliance.
Compliance and Regulatory Standards - Support compliance with DNV, NCQA, CMS, WADOH and other accreditation standards. Prepare data and reports for audits and inspections. Stay updated on changes in medical staff credentialing and privileging regulations. Communication and Collaboration - Serve as a resource for medical staff, administrative personnel, and department leaders regarding database-related inquiries. Train medical staff and support personnel on database usage and reporting tools. Foster positive relationships with external credentialing agencies and other stakeholders.
Administrative Duties - Develop and maintain policies and procedures related to the medical staff database. Provide administrative support to the medical staff services team, including meeting preparation and documentation. Manage special projects as assigned by leadership.
Education
Associate’s or Bachelor’s degree in Healthcare Administration, Information Management, or related field preferred. Relevant work experience may substitute for education.
Experience/Training
Minimum 5 years of experience in database management, credentialing, or medical staff services. Proficiency with medical staff database systems (e.g., Statit, Intelicred, MD-Staff, MSOW, Cactus, or related platforms) required.
License/Certifications
Certification by the National Association Medical Staff Services (e.g., CPCS, CPMSM) is preferred but not required.
