We are seeking an Intake Specialist to join our firm and support our attorneys and paralegals in managing critical case information and legal filings across multiple counties.
Position Overview
The Intake Specialist plays a vital role in processing and managing legal filings, reviewing case information, and ensuring smooth communication between attorneys, paralegals, and court systems. This role requires attention to detail, organizational skills, and the ability to work independently while handling time-sensitive legal documents.
Key Responsibilities
- Legal Filing & Document Management:
- Review and process legal filings across multiple counties (Madison, Cook, St. Clair, McLean, and Indiana).
- Download and organize documents from platforms such as Pohlman MyDocs, File&ServeXpress, CCC Portal, and MyRecordsRetrieval.
- Maintain case information, track trial dates, and ensure attorneys receive necessary updates.
- Case & Deposition Coordination:
- Ensure deposition schedules align with firm records by reviewing SP Reporting and Pohlman’s deposition website.
- Update deposition charts and communicate with attorneys regarding scheduling.
- Manage case follow-ups by monitoring trial orders and tracking case status.
- Communication & Reporting:
- Coordinate with attorneys and paralegals regarding case filings and intake updates.
- Prepare and send daily reports summarizing case updates and deposition schedules.
Qualifications & Skills
- Prior experience in a law office or performing legal administrative work is preferred, but not required.
- Strong attention to detail and ability to manage multiple cases and deadlines.
- Proficiency or willingness to learn Pohlman MyDocs, File&ServeXpress, CCC Portal, MyRecordsRetrieval, and SP Reporting.
- Ability to work independently while maintaining accuracy and efficiency in processing legal documents.
- Excellent organizational and communication skills to ensure smooth coordination with attorneys and staff.
Work Environment & Schedule
- Hybrid position: The candidate must be available to work one day per week in-office, with remote work the rest of the week.
- Some flexibility in working hours is allowed, but reviewing and processing legal filings both in the morning and at the end of the day is critical.
