OVERALL RESPONSIBILITY
Reporting to the Associate Director, Direct Procurement (AD), this position is responsible for providing full service procurement services for the institute, including daily placement of orders, quality control of ordering requirements, asset management, and establishing and maintaining vendor relationships. This involves developing an understanding of the relevant product and service marketplaces, while also maintaining strong internal relationships for timely awareness of internal resource needs. This position will be a hybrid onsite role.
CHARACTERISTIC DUTIES
- Purchasing Operations
- Performs sourcing/negotiation based on requirements identified by administrative and research teams, and places daily orders
- Works with administrative and laboratory operations staff to assess requirements and makes informed sourcing decisions
- Ensures appropriate prior approvals for orders, including compliance with applicable sponsored research agreements, internal controls, and institute policy
- Periodically reviews policies and suggests revisions as needed
- Conducts product sourcing research for comparison of price and terms
- Establishes quotes and assists with price negotiations when necessary
- Undertakes and coordinates special projects as assigned by the Associate Director, Direct Procurement
- Authority to approve orders up to $10K Procurement Systems & Reporting
- Coordinates the retrieval of purchasing data and performs analysis and reporting Vendor & Other Relationship Management
- Develops and maintains industry relationships to remain apprised of trends, risks and/or any potentially impactful information
- Develops a deep understanding of direct product categories, as assigned, and manages all aspects of business pertaining to those products, including quarterly internal reporting, periodic vendor reviews and negotiation
- Maintains pricing agreements to ensure uninterrupted supply chain
QUALIFICATIONS
- Bachelor’s degree
- Experience in a professional purchasing operation position. Scientific procurement experience preferred.
- Background in science and/or lab experience preferred
- Knowledge of research administration
- Knowledge of FAR preferred
- Computer literate and proficient in the use of personal computers, spreadsheets and word processing software
- Familiarity with SAP and other enterprise purchasing systems a plus
- Excellent organizational and interpersonal skills, ability to manage deadlines
- Works well in a fast-paced environment and with all levels of Institute staff
