Job Description:
The Receptionist/Office & Finance Assistant (here on out referred to as assistant) provides an important role in the general atmosphere of the office. Often being the first impression that people have of the company, this person must be pleasant, courteous and have a working knowledge of the office, while displaying professionalism on every level.
While this position wears many hats, the main concern for this position is greeting people as they enter the office and answering the phone promptly. This position requires self motivation, efficiency and quick learning skills, being able to work in a fast paced ever evolving environment.
The assistant is an asset to the HR/Office & Finance Manager, providing back-up and knowing the overall functions of the office and financial realms. This person must be a team player, fast learner, able to work under pressure and able to lift a minimum of 50 pounds.
It is vital in this position that the assistant is able to communicate any issues when they arise and ask for direction as needed. While the assistant is expected to be able to work hand in hand with the HR/Office & Finance Manager, they need to be able to work without supervision.
Qualifications: The assistant must have a High School diploma (or equivalent), possess a valid driver’s license and be able to pass a background check.
Working knowledge of the following is helpful but not required: VOIP phone system, fax, copy machine, Microsoft Office, Google Drives, Google Calendar, Gmail.
Direct Responsibilities for Working in the Office:
- Greeting individuals upon entrance into the office
- Answering the Phone
- Be Flexible
- Retrieving and dispensing faxes
- Keeping the office tidy (including kitchen)
- Re-Stocking Bathrooms (or schedule a consumer to do so on a weekly basis)
- Car Logs
- Scanning/Re-Naming/Filing
- Office Ordering
- Vehicle Maintenance (including but not limited to, scheduling maintenance, cleaning and keeping a good rotation of vehicles)
- Putting away all paper/supplies as they come in (do not leave sitting) or schedule a consumer to do so
- Coordinating Consumer office jobs and timesheets
- Errands (post office, Wal-Mart, etc)
- Assisting Skills Unlimited, Inc. Managers
- New Hires Background Checks/Onboarding /training
- Helping to maintain Personnel Files
- Maintain financial ledgers for consumers supported
- Compare and verify receipt to ledger entries
- Distribution and receipt of money to/from consumer support staff
- Report any concerns to HR Office & Finance Manager
- Application Screening and Scheduling interviews
- Maintain Supply of common forms
- Receipt and Distribution of paperwork/mail to managers/director
- Oversee Credit Card Usage
- Online consumer ordering (i.e. grocery, PA/NAFS needs)
- Help coordinate repairs/maintenance at Office and ISL’s as needed
- Assist Accounts Manager in various duties as needed
- Perform additional duties not specifically mentioned above when emergencies or unusual situations arise (which could include having to stay late, arrive early, come in for weekend hours)
Job Type: Full-time
Pay: From $18.00 per hour
Expected hours: 40 per week
