Position: Dermatology Office Manager at a Luxury Dermatology Practice
Location: Midtown East Manhattan, New York

Key Responsibilities:
Personnel Oversight:
Ensure optimal staffing levels to meet provider and organizational needs.
Handle recruiting, hiring, orientation, training, coaching, and performance evaluations.
Maintain personnel records and ensure HR compliance.
Manage work schedules and attendance records for non-physician staff.
Financial and Payroll Management:
Oversee daily reconciliation of patient payments.
Manage the office's petty cash system.
Monitor paid time off (PTO), overtime (OT), and employee breaks/lunches.
Collaborate with financial departments for proper financial reconciliation.
Management Reporting and Controls:
Review and optimize medical staff schedules.
Ensure patients are scheduled appropriately.
Monitor injectable and product inventory.
Oversee appointment reminder systems and scheduling accuracy.
General Administration:
Familiarity with cosmetic and medical dermatology services and products.
Ensure organized medical records with strict adherence to HIPAA guidelines.
Address escalated patient complaints.
Oversee office equipment maintenance.
Leading provider and department staff meetings.
Active involvement in organizational seminars and events.
Procure necessary supplies.
Other duties as directed by Senior Management.

Qualifications:
Bachelor's degree in business administration, communications, or a related field.
Minimum of 3 years of experience in a Medical Office Management role.
Preferably experience in Dermatology or Plastic Surgery.
Proficiency in Microsoft Office Suite, especially Excel.
Familiarity with Modernizing Medicine/EMA PM/EMR system is a plus.
Supervisory Responsibilities: Directly supervise two or more employees, including hiring, training, and performance management.
Work Environment: Typical office environment with moderate noise levels.
Physical Demands: Involves frequent sitting and standing, extensive computer use (keyboard and mouse), and good vision abilities.
