Summary:
The Assistant Controller is responsible for keeping our books and records correct and in order. Responsible for tasks related to Accounts Payable, and Letters of Credit. Will help with closing book processes, audits, reconciliations, data entry, and provide general support for the financial and accounting processes of the company.
Objectives and Responsibilities:
Accounts Receivable and Payable:
- Applying Direct Import Payments
- Preparing Open A/R Statements when requested
- Opening and sorting mail
- Enter A/P invoices into SAP
- Cut checks for payments that are due
- Deposit payments made by vendors
- Assist in monthly financial closing procedures
- Create Monthly Cash Flow Statement
Returns:
- After receiving a return sheet from the Returns team, refund Skywalker Website customers on Shopify
- For any items that weren’t an expected return (returned to sender, damaged box, unreadable label, etc.), reach out to CS and OP to confirm if order is refund or needs a warranty.
- In SAP, turn the return into a credit memo, adding any tax, freight, coupons, or restocking fees.
Direct Import documents:
- Check documents with Purchase Order, SAP, and Letter of Credit
- Send documents to bank, vendor, or broker.
- Green empty cells where data is needed in Import Schedule, and updating key dates – Possible Offload onto new Sales Admin Positions
Claims:
- Submit invoices and tracking costs for UPS claims – Possible Offload onto OP or CS for workload.
- Create Proof of Delivery and submit dispute for all Amazon Shortage Claims
- Research Sam’s, WM, and Amazon audit claims to determine validity
Other Assignments Given by Manager/Employer (new for 2023):
- Cash Flow Preparation and Comparison to Financials
- Helping Prepare the Month End Comparisons to budget, previous year, and create suggestions for savings
Skills and Qualifications:
- Bachelor's Degree or Relevant Certifications; 4 years of relevant experience may be used in lieu of a bachelor's degree.
- Knowledge of cost and financial accounting.
- Advanced knowledge and experience with Excel.
- Knowledge of or willingness to learn SAP Business One.
- Knowledge of or willingness to learn SQL.
- Able to interact well with co-workers.
- Possess strong verbal and written communication skills.
- Self-starter.
- Able to work in fast-paced environment.
- Detail Oriented
