PURPOSE OF THE POSITION
The Executive Assistant role demands a seasoned professional with extensive experience in administrative support and project coordination. This position requires the ability to manage a diverse array of projects, relationships, and tasks, emphasizing timely execution, accuracy, and cost management. The Executive Assistant must handle confidential and complex assignments with discretion, judgment, and diplomacy to ensure sensitive information is handled appropriately.
ESSENTIAL POSITION RESPONSIBILITIES
- Manage an active calendar, ensuring all appointments are scheduled and conflicts are resolved promptly.
- Complete a wide range of administrative tasks for the Executive, including managing expense reports, composing confidential correspondence, and organizing complex travel arrangements.
- Coordinate and ensure the Executive’s schedule is followed and respected.
- Provide skilled administrative and logistical support, including preparing documents and presentations.
- Schedule and facilitate internal and off-site meetings, including management meetings, council meetings, conferences, and visits by partners, customers, and vendors.
- Act as a liaison between management levels within the company and franchise systems, facilitating smooth information flow.
- Evaluate incoming communications, prioritize actions, and respond accordingly.
- Monitor and manage departmental general and administrative tasks, including preparing expense reports for senior executives and resolving budget issues.
- Generate regular reports and maintain internal databases to ensure accurate records.
- Manage phone calls and emails promptly and efficiently.
- Facilitate internal communication by distributing information and scheduling presentations as needed.
Slim Chickens systems principles and objectives: Has a thorough understanding of Slim Chickens' established operating systems (e.g., quality, security, office environment, company policies, safety) and recognizes the responsibility to stay updated on these systems and the role this position plays in supporting them.
Performs other duties as necessary in support of business objectives: This position description is designed to guide the activities of the Executive Assistant. It is not meant to restrict the individual's creativity or limit their thinking, nor does it encompass all the tasks that may be required in this role.
Physical Activities: Primarily performed in an office environment. Involves entering and retrieving information on a computer and visually verifying details, often in small print. May also require presenting information to small or large groups.

Technical Experience: Proficient in Microsoft Office Suite and Adobe Acrobat, Knowledge of office procedures, experience using office equipment, including printers and fax machines, familiar with (multiple) online calendars and cloud systems.
Industry Experience: Proven work experience as an Office Assistant, Administrative Assistant, Personal Assistant, or similar role. Experience exercising discretion and confidentiality with sensitive company information.
Minimum Education: High School Degree or equivalent and a minimum of five years of experience supporting Senior Leadership Levels or C-Level Executives
Preferred Education: Bachelor’s Degree
