Role Description
We are a busy and growing law firm seeking a detail-oriented Medical Records Clerk to join our legal team. The ideal candidate will be responsible for requesting, tracking, and organizing medical records relevant to ongoing cases. This is a critical position that directly supports our attorneys and legal staff in building strong, evidence-based claims for our clients.
Qualifications
- Prior experience working in a legal or medical office (preferred).
- Familiarity with medical terminology and common medical record formats (preferred).
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with legal case management software is a plus.
- Strong written and verbal communication skills.
- Ability to multitask and manage competing deadlines in a fast-paced environment.
- High degree of discretion and confidentiality with sensitive information.

Responsibilities:
- Prepare and submit requests for medical records, billing records, radiology/CDs, and itemized statements from hospitals, clinics, nursing homes, and insurance companies.
- Track outstanding record requests, follow up with facilities, and ensure timely receipt of all documentation.
- Review and organize incoming records into digital and/or physical client files.
- Maintain detailed logs of record requests, responses, and costs.
- Identify missing records or discrepancies and escalate to legal staff.
- Ensure HIPAA-compliant handling of all protected health information (PHI).
- Assist with preparing record summaries and timelines (optional based on experience).
- Interface with clients to obtain authorizations and clarify provider information, as needed.
- 1 years of experience handling medical records in a legal, healthcare, or insurance setting.
- Background in personal injury or medical malpractice litigation (a plus, but not required).
