What are the responsibilities and job description for the Clerical Assistant 2 position at Slippery Rock University?
Provide secretarial/clerical support for the Office for Inclusive Excellence (OIE), and all office staff, which includes:
1. Provide receptionist duties which include answering the telephone, greeting visitors, directing students and visitors to the appropriate person or department within The Suite, correspondence, complete forms, create mailing labels, create and support databases for assessment, email with attachments, copy, collate, bulk mailing, sort and distribute mail, lamination, maintain working file system, and schedule appointments for professional staff using Outlook
2. Approve work hours in E-time for graduate students, student employees and peer mentors
3. Record, prepare, and reconcile departmental credit card monthly payments
4. Use SourcePoint for creating purchase requisitions, monitoring purchase orders, and Stores orders
5. Create and submit telephone, computer, facilities and planning work orders, and room reservations
6. Support special projects/events including OIE Multicultural Graduation Celebration and Jump Start Week and all associated activities (including, but not limited to monitoring the student application process, ordering food, creating certificates, and written and verbal communication with students)
7. Monitor and procure office supplies and equipment
8. Assist in the creation and maintenance of SharePoint and Teams sites
9. Assist in reporting and monitoring all budgets within OIE
10. Coordinate travel arrangements and reservations: State vehicle and Enterprise vehicle rental reservations, lodging, conferences, registration fees, preparation and submission of travel paperwork
11. Screen, hire, train, and supervise undergraduate student employee(s)
12. Assist in the preparation of quarterly reports
13. Attend meetings and trainings with other university offices and staff as required
14. Serve on university committees as invited or appointed
15. Participate in professional development activities
16. Assist with Week of Welcome and Homecoming preparation and implementation as needed
17. All other duties as assigned

Minimum Qualifications
Six months as a clerical assistant 1 or any combination of six months clerical experience and training. A successful interview is required.
Preferred Qualifications
Experience in the following areas preferred: Microsoft Office and database management; web maintenance; budget maintenance and use of SAP program; experience with SourcePoint; developing and maintaining a filing system; ordering and maintaining office supplies; and working with diverse populations. Excellent written and verbal communication skills and the ability to multi-task are also preferred.
