We are seeking a Project Coordinator to support our multifamily and commercial departments. As the Project Coordinator, you will organize and manage subcontractor project activities and records to support our regional project managers.
Responsibilities
· Prepare Subcontractor packets and retrieve executed documents.
· Manage and maintain subcontractor certificates of insurance and W-9s.
· Typing, filing, emailing, and scanning various documents.
· Assist the project management team with timely coordination of onsite field equipment, subcontractor agreements, invoice processing, change orders, subcontractor notices, project closeouts, and end-of-project surveys.
· Organize and manage both hard copy and electronic file documents on the company server.
· Schedule and participate in project meetings by providing up-to-date project feedback.
· Prepare and provide project safety books and close-outs to the project onsite point of contact.
· Timely gather, calculate and submit subcontractor-certified payrolls into external web portals.
· Provide backup support to the estimating department in mailing submittals and drawdowns.
· Collaborate with the office team in planning company events.
· Other duties as assigned, including but not limited to backing up others in the office as necessary.
Minimum Qualifications:
· Reliable, motivated, organized, and detail-oriented individual.
· Ability to switch gears at a moment’s notice without losing sight of priorities.
· Can work independently to meet deadlines with minimal supervision.
· Excellent communication and follow-up skills.
· A quick study to become familiar with various projects and timelines.
· Working knowledge of Microsoft Office, Excel, and Google Suite.
· Minimum of a year exp. in a busy construction office setting.
· Proficient math skills.
· Bilingual, Spanish.
Since this is an in-office position, only local candidates will be considered. Business hours are Monday through Friday, 8:30 a.m. to 5:30 p.m. Benefits include group health, dental, vision, voluntary AD&D, 401K, PTO, and paid holidays. Must be able to work in the U.S. without sponsorship, have reliable transportation, a valid and unrestricted driver's license, and pass a background check. Only local candidates will be considered since this is an in-office position.
