About the role:
SmartBear is seeking a Workplace Services Manager who is ready to make an impact. This position is responsible for coordinating workplace services administrative functions and Event Planning across US offices, Assist Global Director Facilities and Real Estate. Ownership of assigned projects in support of internal processes and documentation.
Responsibilities:
Workplace and Real Estate Responsibility
- Manage Catering Orders and Monthly Budget- Somerville and Coconut Creek
- Supplies for Office and Café
- Vendor relationship with building, and external vendors as it relates to job role.
- Manage Work Order System- Federal
- External Vendors for office amenities
- Partner with local hotels for SmartBear travel accommodations
- Onboard Executive Assistants in US
- Manage facilities on-boarding process for new hires-
- New workspace
- Update I Office
- Coordinate with P&C team to select and send new hire welcome swag
- Support Facilities and Real Estate Initiatives for Somerville
- Manage Space Planning Software with I Office for all US offices. Provide support for International Offices when needed.
- Furniture Reconfigurations and Move Management as needed.
- Site Somerville Communication about the facility - office updates, lunch announcements, and events.
- Mail Management for office
Events
- Execute offsite events for ELT and directs – meeting space, catering, AV, outside dinners and activities, hotel rooms, transport, etc.
- Collaborate with colleagues across teams to plan offsite events based on team and function
- Create a cohesive event planning rubric across campuses
- Plan large-scale company events in collaboration with the P&C team, mostly for the Somerville office – holiday party, summer event, smaller in-office events
- Handle submitting PO’s and following through with events until they are paid for and settled
- Manage Budgets, Logistics and Communications for Event
We are looking for someone who has (Qualifications):
- 3-5 years of Office Management and Event Planning experience
- Microsoft Office- Excel, PowerPoint, Project
- I- OFFICE- Space Planning system a plus
- Netsuite- PO SYSTEM a plus
- Bachelor’s Degree or equivalent
- Excellent communication skills and strong service mentality
