Smile Train seeks an Associate, Education & Training. The Associate, Education & Training, reporting to the Director, Education & Training, will play a key role in advancing Smile Train’s efforts to ensure the safety and quality of care provided to cleft-affected patients worldwide through education and training (E&T). This position will manage Smile Train’s global conference presence, support global E&T initiatives and partnerships, facilitate data collection efforts, and maintain and enhance Smile Train’s training curricula. The Associate will be integral in driving the organization’s strategic E&T goals through efficient coordination and effective program execution. This full-time, hybrid role requires a commitment to working from Smile Train’s New York City based headquarters twice weekly, with the potential for travel 1-2 times per year.


Key Responsibilities

Global E&T Conference Presence

· Oversee the coordination of Smile Train’s global conference presence, ensuring smooth registration, communication, and support for partners attending key events such as the American Cleft Palate Craniofacial Association (ACPA) Annual Meeting, International Cleft Congress, World Congress of Anesthesiologists, Plastic Surgery The Meeting, and Chang Gung Forum

· Manage internal logistics for Smile Train’s conference involvement, including awareness/booth presence, promotional/branding materials, staff attendance, and shipping needs

· Create and distribute reference and informational materials for staff and partners during conferences to maximize engagement and communication

· Coordinate logistics of any Smile Train-led networking events (e.g., partner receptions or luncheons) at global conferences

· Build and maintain relationships with conference organizers and key stakeholders for continued collaboration and engagement year over year


Global E&T Initiatives & Partnerships

· Provide logistical and communication support for Smile Train partners involved in global fellowship programs such as the ACPA Visiting Scholar Program, WFSA Fellowship Programs, Plastic Surgery Foundation’s SHARE and Fellowship Programs, and Chang Gung Fellowship Program

· Support the planning and execution of international mentorship programs (i.e., Smile Train’s Mentoring Alliance for Global Speech (MAG-S) and Mentoring Alliance for Global Cleft Surgery (MAG-CS)), including mentor/mentee recruitment, onboarding, program check-ins, participant inquiries, impact data collection, and management of program documentation/resources

· Support with the development and delivery of global E&T initiatives, including webinar series, educational resources for partners (e.g., Psychosocial Toolkit), patient-facing resources, and other continuing education opportunities for global audiences


Organizational E&T Data Collection

· Facilitate the coordination and dissemination of mandatory pre- and post-training assessment data collection with regional staff and trainers across all training types

· Regularly monitor and evaluate the quality of global E&T tracking and impact data to identify opportunities for improvement

· Compile reports for tracking and evaluation of E&T investment and impact, for use internally and externally such as Board of Directors meetings, Annual Impact Reports, etc.

· Support with tracking and impact data collection for Fellowship programs globally, including management of fellow and university documentation throughout the program into job placement


Training Curriculum Maintenance & Improvement

· Lead necessary updates of existing Smile Train training curricula, including but not limited to translations, branding, and technical content updates

· Gather and incorporate feedback from partners, trainers, and advisors to enhance the effectiveness and impact of training programs, educational resources, and overall E&T investment

· Act as the primary liaison between Smile Train and translation service providers, ensuring timely project completion, coordinating translation reviews, and fostering long-term relationships for ongoing collaboration


Required Education and Experience:

· Bachelor’s degree in education, public health, healthcare/health professions, instructional design, or a similar field

· At least 2 years of related work experience in a nonprofit, international, or health-related field

· Exceptional attention to detail, organizational, and time management skills

· Superb written and verbal communication skills; comfortable presenting to large groups

· Excellent cross-cultural communication skills and sensitivity to other cultural values, norms, and customs; willingness to work across global time zones

· Tech savvy with capacity to quickly learn new digital platforms

· Ability to manage projects under tight deadlines and acclimate to evolving priorities; demonstrated experience handling multiple projects simultaneously

· Self-starter and team player who offers strategic ideas and solves problems proactively

· Proficiency in Microsoft Office (Word, Excel, and PowerPoint)

· Passion for education in healthcare and interest in Smile Train’s vision


Preferred Education and Experience:

· Master’s degree in education, public health, healthcare/health professions, instructional design, or a similar field

· Besides English, fluency in one or more of the following languages: Spanish, French, or Portuguese

· Experience working or training in low-resource or low- and middle-income countries (LMICs)

· Event management and familiarity with conference logistics

· Experience with data collection via REDCap or similar

· Staff management skills and experience

Salary : $48,000 - $52,000
