Smile Train is looking to hire an Associate, Quality Assurance, to join our HQ Programs team. The role will report to the Senior Associate, Clinical Programs and is responsible for facilitating review of data in Smile Train Express (STX), Smile Train’s proprietary electronic medical records database and the world’s largest cleft database.
This role is mainly administrative in nature and the Associate will be responsible for updating and maintaining STX access for treatment partners, ensuring data integrity and accuracy of information entered by partners, facilitating review of treatment records and partnership applications by subject matter experts, and compiling and analyzing large data sets. The Associate will prepare visual presentations of STX data, research programmatic trends, and compile data for Smile Train’s internal oversight processes in addition to external initiatives.
This is an excellent opportunity for a detail oriented and passionate data enthusiast to help Smile Train track impact around the globe. This is a full-time staff position based out of Smile Train Headquarters in New York, starting as soon as possible.
Responsibilities
Facilitate quality assurance processes in STX, including:
o Monthly surgical record review and notification of surgical numbers for relevant staff.
o Managing the STX Administration Inbox and responding to routine inquiries and requests, providing accurate information, and directing inquiries to the appropriate team members.
o Facilitate review of new treatment partnership applications by clinical experts.
o Tracking flagged records for quality assurance of surgery programs.
o Identifying opportunities for process/system improvement.
o Assisting the Senior Associate, Clinical Programs in updating and enhancing the Programs team resources, including training materials for STX and the photo standards guide for partners.
Perform partner data processing and assessment by:
o Supporting Senior Associate, Clinical Programs on Medical Review of new and existing Smile Train Treatment partner centers in the Grants Database System. Creation of new user accounts for approved partners, treatment centers, and practitioners to STX.
o Updating partner contact/user information as appropriate in STX.
• Support Senior Associate, Clinical Programs with the Quality Assurance (QA) processes for surgical programs, with a focus on data collection and organization for internal Programs Team discussions and actions.
Ensure data integrity by:
o Initiating corrective action for data entry errors related to patient documentation.
o Supporting the Programs team with ad-hoc administrative projects, including managing the Global Medical Advisory Board and Regional Medical Advisory Council In-Kind Collection forms, as well as the development of programmatic presentations and process materials.
o Providing administrative support to the Senior Associate, Clinical Programs, in organizing the Global Medical Advisory Board and Smile Train Research and Innovation Council meetings, as well as supporting the facilitation and dissemination of research.
