SUMMARY DESCRIPTION
The Purchasing Coordinator is essential for enhancing procurement processes and driving operational efficiency within the organization. This role involves managing the inbound flow of customer components, including packaging and raw materials, as well as overseeing the complete cycle of raw material sample requests from R&D. Additionally, the Coordinator will support Regulatory compliance by managing material specification documents and assist the Procurement / Purchasing team by monitoring key metrics and providing data to improve decision-making and overall performance. The role may also include assisting in the sourcing and procurement of Maintenance, Repair, and Operations (MRO) items.
KEY RESPONSIBILITIES :
- Procurement and Materials Management :
o Manage the inbound flow of customer components, packaging, and raw materials.
o Oversee the complete cycle of raw material sample requests from R&D.
o Support Regulatory compliance by managing material specifications and related documentation.
o Monitor and analyze key procurement metrics.
o Disseminate data to enhance decision-making and overall procurement performance.
o Assist in sourcing and procuring MRO items as needed.
o Collaborate with internal teams to optimize procurement processes.
o Ensure timely and accurate management of customer components and material samples.
PERFORMANCE EXPECTATIONS :
o Maintain positive relationships with customers and effectively address any challenges.
o Communicate shipment status and alternative material options as needed.
o Create and maintain MRO Catalog for frequently purchased items.
o Ensure accurate system data management for customers, including codes, quantities, and lead times.
o Maintain the Open Purchase Order report.
o Manage and track customer projects to support timely deliveries in relation to procurement functions.
o Keep the Purchasing Manager informed of upcoming projects visibility by sample management process and escalate any issues or delays.
o Support procurement / purchasing managers in the identification of new suppliers.
MEETING PARTICIPATION
o Purchasing Department Team meeting
o One-on-One meetings with Sr. Procurement Manager
o Weekly Sales updates for new business progress
o Other meetings as requested
AUTHORITY
This position reports to the Sr. Procurement Manager.
SUPERVISORY RESPONSIBILITY
This position is not a managerial role and does not have any supervisory responsibilities.
CLASSIFICATION
This is a full-time, non-exempt role.
EDUCATION
College degree in business, purchasing, or related field, or equivalent experience.
WORK EXPERIENCE
o Experience working in a GMP environment preferred
o Excellent written and verbal communication skills
o Strong problem-solving abilities
o 3 years' experience in the purchasing & manufacturing industry preferred
OTHER QUALIFICATIONS
o Good human relations and oral / written communication skills
o Computer proficiency in Microsoft Office programs
o Demonstrated ability to learn, follow and help refine procedures with minimal oversight
o Strong analytical / problem solving skills
o Self-starter with willingness to expand expertise and skill base
o Ability to handle multiple projects concurrently
