What are the responsibilities and job description for the Administrative Assistant position at Smith County?
The Administrative Assistant performs a variety of clerical and administrative duties in support of Precinct 1 Constables Office. This position is responsible for greeting the public, data entry, booking appointments, answering customer calls and queries, managing schedules, handling business correspondence, assisting in office supply inventory, and offering office support to the staff.
In addition, the Administrative Assistant must be able to handle multiple tasks and maintain a positive attitude.
- Performs research and compiles data for special projects or reports.
- Creates and maintains various computerized files.
- Initiates emails and faxes.
- Makes copies.
- Receives and answers questions over the phone, through email or in person.
- Must be able to type accurately and have basic computer skills.
- Schedules appointments, organizes and manages calendars and activities for Constable.
- In charge of all filings of documents generated by the Constable’s Office and shall keep training records for all Deputy Constables of this department.
- Prepares office correspondence on behalf of office staff, assuming responsibility for accuracy and professionalism.
- Maintains office supply inventories by coordinating with each department supervisor and preparing necessary paperwork.
- Submits the department payroll.
- Receives, processes and distributes mail to appropriate department or employee.
- Serves as office support.
- Performs other duties as assigned by the Constable.

- Requires High School Diploma or equivalent.
- Administrative, clerical support, customer service or related experience.

Physical Demands and Work Environment
- Must be physically able to operate a variety of automated office machines and equipment.
- Must be able to exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
- Must have minimal levels of eye, hand and foot coordination.
- Required to have the ability to see, hear and speak.
Travel
Must be able to travel to and from county facilities as needed.
