Description

Snohomish County Parks & Recreation, a Division of the Department of Conservation and Natural Resources (DCNR), is seeking a highly capable Seasonal Accounting Assistant to join our team and assure smooth, timely and efficient accounting functions for the division. This position is accounting in nature and works under direct supervision of the Parks' Fiscal Resource Analyst. The Seasonal Accounting Assistant will perform routine Accounts Payable and/or Accounts Receivable duties while serving as the assistant to our Accounting Technician II, as well as provide miscellaneous support to division staff.

The following are job duties the selected candidate will perform

  • Receives, verifies and processes accounts payable vouchers; verifies vouchers for such things as correct procedures and accuracy, vendor names, proper signatures, backup documentation and available funding; reviews due dates and the availability of discounts; determines the month and year in which to pay.
  • Enters vendor code requests and reports address changes
  • Organize invoices for PC statements and key in information in the related spreadsheets
  • Distribute PC statements to the cardholders and process them by the deadline when they get returned
  • Maintain contact with vendors and place required service orders received from field and office staff (for garbage and sanicans)
  • Updates schedules and make sure all the orders have been approved and the required documentation was turned in
  • Enters accounting related data on county records manually or on a computer terminal; sets up and maintains files and filing systems digitally and hard copy; retrieves information from files or terminal
  • Assists employees of other departments, vendors, by answering questions, explaining procedures, policies, and schedules; locates information from county records and provides it to authorized parties as appropriate.
  • Performs basic coding of financial, accounting and/or fiscal information.

  • This position will work approximately 30-32 hours per week at Willis Tucker Park. The selected candidate is expected to start on April 1, 2025 and working to at least October 30, 2025.*

Seasonal employees may not exceed 1,040 work hours in a 12-month period.

Job Duties

STATEMENT OF ESSENTIAL JOB DUTIES

  • Receives, processes and deposits cash receipts from accounts receivable, counter fees and sales; prepares treasurer's transmittals and bank deposits; posts, receipts and invoices to manual and automated records; categorizes, balances and reconciles receipts and bank statements; may prepare accounts receivable billings.
  • Receives, verifies and processes accounts payable vouchers; verifies vouchers for such things as accuracy, proper signatures and backup documentation; posts ledgers; maintains petty cash fund.
  • Participates in the preparation of the annual budget; prepares and submits budget drafts, budget transfers, emergency appropriations and supplemental appropriations for approval; provides accounting and budget related data to management as necessary.
  • Maintains inventory records and custody of supplies; requisitions supplies and equipment; arranges appropriate maintenance services for the repair of facilities or equipment.
  • Maintains established financial related automated systems; calls up and fills out screens and enters and/or retrieves data; proofs and corrects work entered; runs reports.

Statement Of Other Job Duties

  • May set up, post and reconcile payroll ledgers; verifies time cards and maintains vacation, sick leave, overtime and comp time records; prepares monthly payroll forms such as time cards, entry sheets, batch and control sheets.
  • Collects data and prepares reports as assigned.
  • Performs related duties as required.

Minimum Qualifications

An Associate's degree in accounting, business administration or a related field; OR, one (1) year of technical accounting experience; OR, any combination of training and or experience that provides the required knowledge and abilities. Must pass job related tests.

SUPERVISION

Healthcare Premiums
