About the Position
The Health Department is searching for an experienced Administrative Assistant. This position will serve the leadership of the Environmental Health Division of the Health Department, as well as performing general support services to the entire Division. The position will be expected to manage calendars, support meetings, arrange travel, draft and edit presentations and other documents, assist with fleet management, and assist with a wide variety of other administrative tasks as assigned.
Our ideal candidate must have the ability to communicate and collaborate effectively with a diverse group of interested parties, possess a mastery of verbal and written communication skills, and be comfortable working directly with all levels of staff. Must be accountable, adaptable, and self-motivated whether working independently or in a collaborative team environment.
Work is performed under limited supervision. Incumbent will complete the work within the timelines given and is responsible for the work performed. Prepares and carries out assignments and handles problems and deviations in accordance with experienced judgment, instructions, policies, procedures and/or accepted practices. The incumbent coordinates work with others and uses independent judgment concerning appropriate methods and procedures and keeps the Director regularly informed of progress, and workload concerns.Examples of Work Performed:
- Performs a variety of highly responsible and specialized support work for the assigned Division. Performs on a continuing basis, assignments requiring specialized skills and/or capabilities to establish and maintain operational functions.
- Coordinates and schedules appointments and travel arrangements; provides fleet management support; maintains the Division Director’s calendar; composes and formats letters, memos, forms, and charts; upon direction and with general policy guidance prepares a variety of correspondence, directives memos, reports, and other written material as required; researches and evaluates relevant information, forms conclusions, and makes recommendations as appropriate; proofs and edits material submitted by others for signature and approval; prepares materials for presentations; and manages purchases as assigned.
- May represent Division leadership at meetings where appropriate.
- Maintains custody of and processes confidential departmental information.
- Maintains computerized budget, contract and grant tracking systems for the Division and informs management of due dates, deadlines, and timeframes.
- Assists in gathering and preparing contract and grant data for compliance with report submission and other requirements.
- Teams with stakeholders to improve efficiency of processes while managing controls and risks.
- Creates and runs electronic reports for programs in conjunction with management.
- Assists in the development of office operation policies, procedures and protocols and makes recommendations for modifications to address efficiency and effectiveness in the workplace.
- Creates and maintains relationships with both internal and external customers.
- Takes minutes of meetings; prepares varied correspondence, reports, documents and other material from machine, drafts, or general instructions; obtains, organizes, designs, and plans suitable presentation of content; reviews work for format consistency, grammatical construction, and typographical accuracy; presents finished materials for review, and distribute.
- Updates the Health Department website for various programs.
- Obtains, compiles, develops, and presents in suitable form a variety of materials related to the work of the Department; prepares, from electronic copy, meeting agendas and assembles packets of materials.
- Performs special projects, as assigned; creates and maintains a computerized address and other data base files, abstracting and manipulating as needed.
- Prepares memos and other correspondence, assists management in effectively handling incoming and outgoing communication.
- Participates in program planning and goal setting, staff meetings and committees.
- Collects and organizes data/information for budget, research projects, contracts, grants, and other requests.
- Assist program supervisors in their development of various programmatic reports for external agencies.
- Participates in continuing education courses as appropriate to meet learning needs.
- Participates in and supports emergency preparedness and response activities, including preparedness for the division, agency, and community.
- Perform other duties as assigned.
- Associate degree from an accredited institution in business, public administration, or a closely related field.
- Three (3) years of administrative support experience, including one (1) year supporting management.
- Successful completion of a background check pursuant to RCW 43.43.830.
