Job Summary
Snow King Mountain Resort, located in the heart of Jackson Hole, Wyoming, is a dual-season resort featuring a variety of family-friendly summer and winter attractions. We are looking for a motivated and versatile individual to serve as the Dual-Seasonal Sales and Events Coordinator. This position will be responsible for sales coordination, group bookings, and event execution in the summer, transitioning to Mountain Sports School (MSS) sales coordination in the winter. The ideal candidate is organized, detail-oriented, customer-focused, and comfortable handling both administrative duties and on-the-ground event execution.
Summer Responsibilities (Sales and Events Coordinator)
- Sales & Bookings: Assist in group sales, event bookings, and finalizing event details. Work closely with planners and the manager to ensure seamless execution.
- Event Planning & Logistics: Work with the manager to assist in planning, organizing, and overseeing events, including coordinating with vendors, managing event setup and strike, and ensuring smooth operations.
- Event Execution & Team Management: Help support events on-site, including concerts and group functions. Assist in managing logistics to ensure a successful guest experience. In some situations, assist in overseeing an event staff for event setup and strike.
- Food & Beverage Coordination: Assist in collaborating with the F&B team to arrange catering needs for private and non-private events.
- Administrative Duties: Help field and respond to venue requests, provide venue information and pricing, give venue tours, book group sales, coordinate ticket printing with Guest Services, and handle inquiries. Generally, assist the manager with emails, ensuring timely responses and maintaining control over the inbox.
- Financial Tracking & Admin: Assist in managing event-related financial tracking, invoicing, and reporting. Maintain organized administrative records.
- Guest and Internal Communication and Collaboration: Assist in managing email correspondence, responding to inquiries, and providing exceptional customer service. Work with Guest Services, the Director of Experiences and Culture, and other departments to enhance guest experiences and optimize event operations
- Marketing & PR: Assist in drafting newsletters and creating marketing materials such as posters, pamphlets, and brochures.
- Flexibility: Hours may be long on event days, including early mornings or late nights. The schedule is not consistent and may require shifts that begin early for administrative work or extend late to help manage and oversee events in person.
- Problem-Solving & Adaptability: This role requires quick thinking, adaptability, and the ability to work efficiently in a fast-paced environment.
- Organizational Skills: Help maintain and update sales materials, including pricing sheets, and ensure clear communication between customers and all necessary departments.
Winter Responsibilities (MSS Sales Coordinator)
- Sales & Customer Service: Assist in overseeing MSS sales and customer service, including daily interactions with guests, instructors, and staff.
- Reservations & Transactions: Assist in managing sales transactions, group reservations, and fulfillment processes. Coordinate with accounting for accurate invoicing.
- Scheduling & Training: Assist in scheduling MSS sales staff and providing training on point-of-sale systems and standard operating procedures.
- Administrative Duties & Email & Inquiry Management: Assist in answering phones, responding to emails, and managing inquiries for MSS. Support payroll approval and auditing. Support customer service efforts by overseeing general MSS inquiries via phone and email (e.g., school@snowkingmountain.com).
- Product Development & Improvement: Assist MSS leadership in refining products and creating new offerings based on market trends.
- Coordination Between Departments: Help bridge communication between Snow Kings different departments to ensure smooth collaboration and operations.
- Issue Resolution: Assist in handling guest complaints and facilitating conflict resolution.
- Financial Accuracy & Reporting: Ensure accurate and timely processing of sales transactions and work with the accounting department to facilitate invoicing and payment processing.
Growth & Learning
- Gain experience in various aspects of event coordination, sales, and operations while being part of a rapidly expanding organization.
- Learn and work with new software systems that will help develop skills for future success.
Minimum Qualifications
- 21 years of age or older
- Sales management experience preferred
- Bachelor's degree preferred
- General knowledge of the ski industry preferred
- Strong communication and guest service skills
- Ability to multitask and stay organized in a fast-paced environment
- Must be available to work weekends and holidays
- Fluency in English (spoken and written) required; Spanish proficiency is a plus
- Strong knowledge of word processing, spreadsheets, and browser applications
