What You’ll Do:
- Organize and schedule onsite IT visits, project timelines, meetings, and appointments to ensure seamless execution.
- Manage correspondence, including emails, letters, and reports, ensuring clarity and professionalism.
- Assist in compiling, analyzing, and preparing regularly scheduled reports, ensuring accuracy, consistency, and timely delivery.
- Assist with expense reporting, invoice processing, and light accounting tasks to support financial operations.
- Provide professional assistance to visitors and internal staff while maintaining a welcoming and organized work environment.
- Manage incoming inquiries via email, phone, and in-person interactions, providing timely and professional responses.
- Maintain and optimize digital and physical filing systems, ensuring secure handling of confidential information.
- Accurately document meeting minutes, coordinate office procedures, and facilitate smooth workflow execution.

- Receive, organize, and distribute incoming and outgoing mail and packages efficiently.
- Collaborate with teams on various office projects and administrative initiatives as needed.
What We’re Looking For:
- 4-6 years of administrative or equivalent experience in a fast-paced office environment
- Familiarity with cloud-based collaboration tools such as Google Workspace, Microsoft Teams, Slack, or Zoom
- Ability to troubleshoot basic IT issues and coordinate with IT support
- Excellent verbal and written communication skills with the ability to interact professionally with staff, leadership, and external partners

- Proficiency in project management tools like Monday.com, or similar platforms to track and organize work
- Strong ability to prioritize and handle multiple tasks efficiently while maintaining attention to detail
- Ability to handle sensitive information with discretion and maintain compliance with data privacy and security policies
- A proactive mindset to streamline administrative processes, enhance efficiency, and identify areas for improvement
- High school diploma or equivalent (college degree preferred)
- Must be 19 years or older and authorized to work in the U.S.
