What are the responsibilities and job description for the Purchasing Clerk position at Soboba Casino?
Responsible for specific areas of specialized purchasing including food and beverage, facilities and housekeeping supplies, uniforms, gaming supplies and equipment, etc. Responsibilities include reviewing requisitions for completeness, preparing bid requests and setting up new vendors with Backgrounds. Also responsible for maintaining logs and documentation.
Duties/Responsibilities
- Work closely with buyers and purchasing manager.
- Works closely with the warehouse, clarifies specifications provided, develops a conceptual understanding of provided specifications or scope of services, and identifies sources to fulfill those specifications.
- Obtains competitive prices from suppliers.
- Confirms receipt / acceptance of Purchase Orders.
- High expectation of self-direction / less Supervisory support.
- Establishes effective working relationships with supervisory and non-supervisory internal customers within the various operating or support departments.
- Ensures that suppliers in assigned area of products, services, or specific departments meet established delivery dates at the lowest ethically negotiated price with respect to specification tolerances and timely supply fulfillment.
- Input data and generate or create reports as requested for the department or that reflect the buyer’s respective vendors.
- Establishes, maintains and supports filing systems and methods of documentation of reports or purchasing activity generated by the department as to enable and satisfy an audit / inspection or industry regulating standards.
- Work with departments on vendor renewals and vendor registrations.
- Performs other job-related duties as directed within the best interests of the department or the company.
Education / Qualifications
- Must be 21 years of age, or older.
- High School Diploma or GED equivalent required.
- Minimum of two (2) years work experience in Administrative/Purchasing responsibilities required.
- Knowledge of RedRock Procurement software, SAMMS Purchasing, and inventory software, Preferred.
- Must have a functional understanding of procurement practices/theories, and attention to detail, and analytical skills preferably within the casino/resort/hospitality/service.
- Must have Microsoft Office Products knowledge including Excel, Outlook, using basic functions such as: creating and updating spreadsheets, scheduling meetings in Outlook, basic email communications.
- Excellent customer service skills.
- Interpersonal skills to deal effectively with all business contacts.
- Professional appearance and demeanor.
- Work a full time and flexible work schedule which may result in extended hours.
- Work shifts that at times include weekends and holidays.
- Intermediate to advanced proficiency of PC computer software (MS Word, Excel, PP, Outlook).
- Ability to communicate effectively, in both written and oral forms.
- Position activities may vary, must be flexible and capable of multi-tasking, while displaying organization skills to function effectively with attention to detail while meeting established deadlines.
Certificates, licenses and registration
- Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
- Required to submit to and obtain negative results on all drug and/or alcohol testing
