Job Summary:
We are seeking a proactive and detail-oriented Intake Specialist/Receptionist to join our growing pediatric therapy practice. This role is essential in providing outstanding customer service, managing front office operations, and supporting the administrative and billing needs of our team. The ideal candidate will assist with patient intake, track authorizations, and visit counts, follow up on copays, and handle various reception and administrative tasks.
Key Responsibilities:
Patient Intake & Reception:
- Greet patients and families warmly, ensuring a welcoming and professional atmosphere.
- Manage patient check-in and check-out processes efficiently.
- Collect and verify patient information, including insurance details and required documentation.
- Schedule appointments and coordinate therapy sessions.
- Answer phone calls, emails, and inquiries promptly and courteously.
Billing & Administrative Support:
- Follow up with families to collect copays and outstanding balances.
- Reach out to parents to gather missing information or documentation.
- Obtain and track insurance authorizations, ensuring compliance with therapy visit limits.
- Monitor and maintain accurate visit counts for patients and notify therapists of approaching limits.
- Submit and follow up on insurance claims as needed.
- Maintain accurate billing records and assist with resolving discrepancies.
General Office Support:
- Ensure patient confidentiality in compliance with HIPAA regulations.
- Support therapists and administrative staff with tasks as needed.
- Organize and maintain the front office to ensure efficiency and professionalism.
Qualifications:
- Previous experience in a medical, therapy, or administrative office setting is preferred.
- Familiarity with insurance verification, authorizations, and billing processes is a plus.
- Strong organizational and multitasking skills with a high level of attention to detail.
- Proficiency in office software (e.g., Microsoft Office Suite) and electronic health record (EHR) systems.
- Excellent communication and interpersonal skills for interacting with families, patients, and team members.
- Ability to work collaboratively in a fast-paced, family-centered environment.
