Location: We are seeking an Event Planner for the United States Patent and Trademark Office (USPTO) in Alexandria, VA.
Unit Description: The US Patent & Trademark Office is headquartered in Alexandria, VA is the federal agency for granting U.S. patents and registering trademarks. The USPTO advises the President of the United States, Secretary of Commerce and the U.S. Government agencies on intellectual property policy, protection, and enforcement.
Principal Function:
The Event Planner will plan, coordinate, and execute assigned in-person, hybrid, and virtual meetings and conferences at this conference center site. Under the leadership of the General Manager and Director of Operations, and in collaboration with supporting technical teams and other partners, the Event Planner will create and execute event experiences that exceed Guest expectations and maximize revenue by effectively consulting and planning conferences - including defining objectives and interfacing with Clients to determine needs.
The Event Planner will ensure timely distribution of event orders and also provide hands on assistance as needed with the set-up and room-strike of all assigned events. The highest priority responsibilities for this role are to develop and maintain strong Client relationships and Client Satisfaction by creating and executing events of the highest quality.
Essential Responsibilities:
- Coordinate and execute in-person, hybrid, and virtual meetings, ensuring all logistical aspects are organized and well-communicated.
- Manage event logistics including room layouts, audiovisual needs, facility and security requests, and day-of coordination.
- Collaborate with team members to schedule events, support virtual platforms, and ensure technical requirements are met.
Qualifications/Skills:
- An Associate's degree in a related field and/or appropriate combination of education and experience to support on-the-job effectiveness.
- Minimum of one year of experience in event planning, including coordinating logistics for in-person and/or virtual events.
- Exceptional communication and customer service skills, with a high level of attention to detail.
- Working knowledge in event management, including planning and working events/meetings.
- Knowledge of Event Management Systems, Diagramming Software, and Microsoft Office Suite is a plus.
- Proven ability to work effectively with all levels of staff and management; Ability to promote and participate in team environment concepts.
- Self-starter who can work independently and simultaneously on multiple tasks/projects.
- Ability to communicate effectively both orally and in writing.
- Initiative in identifying and resolving problems timely and effectively.
Other Requirements:
Work is performed in an area with adequate lighting and ventilation. Requires lifting items up to 50 pounds on occasion. Hours may be extended or irregular to include nights, weekends and holidays.
