What are the responsibilities and job description for the Receptionist/Travel Assistant position at Sofidel?
The Receptionist reports to the Travel Manager and CPO area, coordinates and monitors the functions of the front office including incoming phone calls, greeting customers, all visitors and assisting them in conducting their business at the site. The person also performs various administrative duties and provides project support to company managers. Continuously supports Sofidel’s Employee Personal Practice Policy. This position status is non-exempt.
ESSENTIAL FUNCTIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Supports Sofidel America’s Good Manufacturing Practices and HACCP to promote a safe, sanitary and hygienically sound workplace.
- Represents Sofidel America through communicating and providing customer service via telephone and in person to all employees, visitors, clients and customers.
- Arranges for travel including air, vehicles and lodging for employees and guests/visitors.
- Performs a variety of administrative and clerical support functions to all administrative units of the facility including providing project management support to managers across the organization as needed.
- Answers incoming telephone calls, and directs calls to appropriate staff member, group or voice mail, or takes messages from caller and email messages.
- Greets guests, visitors, and vendors; announces to appropriate staff member.
- Maintains log of visitors.
- Coordinates and monitors outside services to support the administrative offices including cleaning/janitorial, office equipment and repair, office repairs, kitchen, and safety supplies, maintenance and any other related services.
- Creates and maintains company directory.
- Identify the best economical and service solutions cooperating with the Purchasing Office.
- Provides purchasing support through the PRQ process and ensures manager approval.
- Coordinates incoming and outgoing mail and deliveries (Fed Ex, UPS, etc.).
- Manages internal lunch events and social or business gatherings.
- Maintains conference rooms schedule and reserves for designated times as requested.
- Provides ongoing employee relations with positive communication and action.
- Conducts business at all times with highest standard of personal, professional and ethical conduct.
OTHER DUTIES MAY INCLUDE:
- Perform or assist with any operations, as required to maintain workflow and to meet schedules and quality requirements. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- Maintain safe work area and comply with safety procedures and equipment operating rules keeping work area in a clean and orderly condition.
- Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Perform other related duties as assigned.
TOOLS AND EQUIPMENT USED:
Employee will use computer and peripherals, standard and customized software applications and tools, and usual office equipment.
Education / Experience: Associate Degree with 2-3 years’ experience preferred. Possess basic computer skills – especially Word, Excel and Outlook. SAP and GDS skills are appreciated.
Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and quality and procedure manuals. Any additional language is appreciated.
Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
