POSITION SUMMARY
Under the guidance of the Food and Beverage Director, the F&B Office Manager oversees F&B accounting, administrative needs, and daily office operations. Further responsibilities include assisting with the management of minibar operations and coordinating large party reservations by booking reservations, communicating contracts and event costs, and organization of venue details. The F&B Office Manager effectively communicates and interacts with guests while providing genuine, timely, and seamless customer service. Also, they act as a liaison between vendors and the Soho Grand Hotel. The F&B Office Manager performs following Soho Grand's Service Culture and achieves stated objectives in sales, accounting and budget goals, guest relations, professionalism, positive teamwork, and organization.
ROLE RESPONSIBILITIES
- Reconcile general ledger for F&B outlets
- Reconcile F&B monthly statements
- Assist in monthly P&L analysis – F&B Variance Report
- Create Purchase Orders for Director of Food & Beverage and Executive Sous Chef
- Manage monthly declining balances F&B, CSG&L
- Maintain accurate transfer records of products between hotels and within departments for proper accounting
- Handle check requests for missing paychecks and vendor payment
- Act as a liaison between vendors and hotel
- Always obtain bids from multiple vendors – RIBID process / Savings
- Process all F&B invoices into Yardi system
- Monitor deliveries and secure all products in appropriate storerooms
- Submit weekly OS&E inventory
- Manage large party reservations for GB&L & Gilligan’s outlets
- Provide seamless costumer service while booking reservations
- Create/send large party reservation contracts
- Send weekly large party reservation forecast to F&B director
- Manage and maintain all storerooms in neat condition compliant with New York State health code recommendations
- Payroll – process payroll alongside Director of F&B
- Maintain a meticulously clean/organized workspace, in accordance with look book standards set, and inventory par levels
- Assist with any logistical & administrative duties assigned by the Director of Food & Beverage
- Communicating any maintenance or cleanliness issues to the proper channels
- Professionally and clearly communicate on company email
- Minibar daily meeting to go over any items/issues/change with minibar attendants
- Print out room assignments, vacant rooms, and occupancy graph every morning for minibar attendants
- Input sales, hours, rooms serviced into minibar attendant tracking sheet – email to the Food and Beverage Director at the end of each week
QUALIFICATIONS
- 2 years of experience working in high volume & luxury properties
- 1 Year of Acounting experience
- Advanced computer skills
- Advanced Microsoft office
- Strong organizational skills
- Self-motivating and self-starting
- Dependable and punctual
- Must have flexible and open availability
- Have the ability to reach, bend, stoop, climb up and down stairs, and carry multiple objects
- Food handler certification card
- Fluency in English both verbal and non-verbal
- Provide legible communication
- Compute basic arithmetic

- Maintain DOH standards throughout shift and a clean workspace
