Position Overview:
We are seeking an Executive Assistant & Operations Support to support the leadership team and contribute to the operational backbone of the organization. This is a behind-the-scenes role where you will assist with administrative tasks, operations management, financial reporting, and general office duties. You will not have direct client-facing responsibilities but will play a critical role in ensuring all operations run efficiently and that key metrics and reports are accurately tracked.
Key Duties & Responsibilities:
Executive Assistance:
- Provide administrative support to senior leadership, including calendar management, meeting coordination, and handling internal communications.
- Assist with travel arrangements, expense reports, and various day-to-day administrative tasks.
Operations & Administrative Support:
- Support the preparation, submission, and coding of invoices for processing.
- Manage financial data, including monitoring and reporting on revenue and expenses to ensure they stay within budget limits.
- Track and maintain accurate records of financial transactions, reports, and files.
- Assist with maintaining operational workflows and supporting various business functions to ensure smooth operations.
Reporting & Data Management:
- Generate regular internal reports on key business metrics, including financial data, operational performance, and project timelines.
- Assist in tracking key performance indicators (KPIs) and ensure that all necessary documentation is filed and maintained.
- Provide data-driven insights and identify potential areas for operational improvements through detailed reporting.
Process Support & Improvement:
- Help streamline internal processes to improve efficiency and support the organization’s goals.
- Monitor workflows and collaborate with team members to ensure that tasks are completed on time and within scope.
- Assist with preparing reports and updates for senior leadership on business operations and project progress.
Minimum Qualifications:
- Education/Experience: A background or strong interest in financial management, operations support, or administration.
- Skills & Traits:
- Strong organizational skills and ability to prioritize multiple tasks simultaneously.
- Exceptional attention to detail and accuracy in data entry and reporting.
- Proficiency in Microsoft Excel for tracking, reporting, and analysis of financial and operational data.
- Strong written and verbal communication skills.
- Ability to work independently and proactively, adhering to deadlines.
- Comfortable handling sensitive and confidential information.
- Desirable Qualifications:
- Previous experience in administrative support or operations coordination.
- Knowledge of grant management or financial reporting is a plus.
- Experience or interest in improving operational processes.
