Job Title: Executive Assistant & Operations Support

Location: Lee's Summit, MO (in-office required)

Position Type: Independent Contractor (Full-time, 6-month contract with possibility of extension)

Pay Range: $30-40/hr (based on qualifications)

Solano Communications is a growing small business that provides grant management and consulting services to US-based telecommunications companies. We help our clients secure the funding they need to achieve their business goals. As we continue to grow, we are looking for an organized, detail-oriented individual to provide critical operational support behind the scenes, helping our leadership team streamline business processes and maintain the smooth running of day-to-day operations.

Position Overview:

We are seeking an Executive Assistant & Operations Support to support the leadership team and contribute to the operational backbone of the organization. This is a behind-the-scenes role where you will assist with administrative tasks, operations management, financial reporting, and general office duties. You will not have direct client-facing responsibilities but will play a critical role in ensuring all operations run efficiently and that key metrics and reports are accurately tracked.

Key Duties & Responsibilities:

  • Executive Assistance:

    • Provide administrative support to senior leadership, including calendar management, meeting coordination, and handling internal communications.
    • Assist with travel arrangements, expense reports, and various day-to-day administrative tasks.
  • Operations & Administrative Support:

    • Support the preparation, submission, and coding of invoices for processing.
    • Manage financial data, including monitoring and reporting on revenue and expenses to ensure they stay within budget limits.
    • Track and maintain accurate records of financial transactions, reports, and files.
    • Assist with maintaining operational workflows and supporting various business functions to ensure smooth operations.
  • Reporting & Data Management:

    • Generate regular internal reports on key business metrics, including financial data, operational performance, and project timelines.
    • Assist in tracking key performance indicators (KPIs) and ensure that all necessary documentation is filed and maintained.
    • Provide data-driven insights and identify potential areas for operational improvements through detailed reporting.
  • Process Support & Improvement:

    • Help streamline internal processes to improve efficiency and support the organization’s goals.
    • Monitor workflows and collaborate with team members to ensure that tasks are completed on time and within scope.
    • Assist with preparing reports and updates for senior leadership on business operations and project progress.

Minimum Qualifications:

  • Education/Experience: A background or strong interest in financial management, operations support, or administration.
  • Skills & Traits:
    • Strong organizational skills and ability to prioritize multiple tasks simultaneously.
    • Exceptional attention to detail and accuracy in data entry and reporting.
    • Proficiency in Microsoft Excel for tracking, reporting, and analysis of financial and operational data.
    • Strong written and verbal communication skills.
    • Ability to work independently and proactively, adhering to deadlines.
    • Comfortable handling sensitive and confidential information.
  • Desirable Qualifications:
    • Previous experience in administrative support or operations coordination.
    • Knowledge of grant management or financial reporting is a plus.
    • Experience or interest in improving operational processes.
