The Role
Solare Collegiate is seeking an experienced Office/Facilities Manager who combines strong operational expertise with exceptional interpersonal skills. This leader will manage our school's daily operations while serving as a key community liaison.
Location
This is a full-time, on-site position at the school, located at 8801 Gibson Blvd SW, Albuquerque, New Mexico 87121.
Responsibilities
Office Operations and Administration
- Lead front office operations, including supervising administrative assistants and reception staff.
- Manage purchasing, vendor payments, and purchase orders while ensuring accurate recordkeeping.
- Develop and implement organizational processes and procedures for improved efficiency.
- Process invoices, maintain vendor records, and oversee contracts and renewals.
- Respond to emails, phone calls, and inquiries from parents, students, and community members.
- Manage HR functions such as onboarding paperwork, background checks, and compliance.
- Oversee student enrollment processes, maintaining accurate records and communications.
Facilities Management
- Ensure the campus is clean, safe, and fully operational.
- Conduct walkthroughs to monitor classrooms, restrooms, hallways, and shared spaces.
- Oversee building maintenance, repairs, and compliance with inspections and safety regulations.
- Organize and execute safety drills in coordination with school leadership.
- Manage technology systems, ensuring equipment availability, usage monitoring, and repair coordination.
Community Engagement and Relationships
- Build and maintain positive relationships with families, staff, and community partners.
- Serve as a welcoming presence for parents, visitors, and stakeholders.
- Address parent concerns, questions, and requests in a professional and empathetic manner.
Student and Staff Support
- Assist with student discipline in the front office when necessary.
- Manage student information systems, ensuring data accuracy and confidentiality.
- Coordinate transportation services and address related concerns.
- Support the school nutrition program by liaising with vendors and ensuring compliance.
Leadership and Oversight
- Delegate responsibilities to front office staff and provide ongoing support and direction.
- Collaborate with school leadership on staff recruitment and operational planning.
- Review processes and systems regularly to identify areas for improvement.
Supply and Inventory Management
- Oversee supply ordering, restocking, and inventory tracking.
- Research and recommend cost-effective solutions for supplies and equipment.
Event Planning and Communication
- Organize and support school events, ensuring smooth logistics and execution.
- Create and distribute newsletters, flyers, and other communications to parents and staff.
- Act as the point of contact for external communications, ensuring timely responses and professional interactions.
- Maintain and update school social media platforms to share updates and announcements.
Skills and Experience:
- Proven experience in office, operations, or facilities management, preferably in an educational or nonprofit setting.
- Strong management and leadership skills with experience supervising others.
- Excellent verbal and written communication skills, including external and community-facing communication.
- Have experience with technology systems.
- Experience managing vendor relationships, purchase orders, and payments.
- Ability to multitask, prioritize, and adapt in a fast-paced environment.
Preferred Skills:
- Familiarity with event planning and coordination.
- Knowledge of school operations, safety procedures, and regulatory requirements.
- Experience with social media management and public communications.
- Spanish/English bilingual
Compensation
Annual salary range of $50,000-$60,000, plus a comprehensive benefits package. Salary commensurate with experience and qualifications.
