Position Overview
The Receptionist & Office Assistant will serve as the first point of contact for clients and visitors while ensuring the seamless operation of administrative processes. This role requires a highly organized and detail-oriented professional with strong multitasking abilities, excellent communication skills, and a proactive approach to problem-solving. The ideal candidate is self-motivated, professional, and committed to maintaining an efficient and welcoming office environment.
Key Responsibilities
- Greet and assist clients, visitors, and employees with professionalism and a welcoming attitude.
- Manage incoming and outgoing calls, direct inquiries, and handle email correspondence efficiently.
- Assist with scheduling, appointment coordination, and maintaining office supply inventory.
- Maintain a clean, organized, and professional front desk and office environment.
- Process mail and packages, perform data entry, and assist with document preparation and filing.
- Handle confidential information with discretion and professionalism.
- Support office operations by coordinating meetings, preparing materials, and assisting with event planning.
Qualifications & Requirements
- Prior experience in a receptionist, administrative, or customer service role is preferred.
- Strong verbal and written communication skills with a professional demeanor.
- Excellent organizational skills with the ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- A self-driven individual with a strong work ethic who takes ownership of responsibilities.
- Ability to work independently while maintaining strong collaboration within a team.
- High school diploma or equivalent required; an associate’s degree or relevant certification is a plus.
- Familiarity with construction or related industries is a plus but not required.
