Job Description:
Position Summary
Acts as a representative in all areas of clerical support. Assumes responsibility for all facets of front desk operations, including greeting and registering patients, answering phones, scheduling appointments, entering patient charges and demographics. Retrieving and updating medical records, collecting fees, and performing general clerical and other duties as assigned in accordance with JCAHO, NCQA, and government standards, as well as policies and procedures of PPS under the direct supervision of the Office Manager/Practice Manager.
Key Responsibilities
Prepares charts/paperwork for patient appointments daily.
Greets and checks in all scheduled patients according to the Health System check in process; notifies medical staff of their arrival.
Collects and posts co-payment.
Confirms and updates all demographic and insurance information if patient is not pre-registered.
Interacts with patients regarding complaints for effective and immediate response and resolution. Refers to Office Manager as appropriate.
Receives incoming telephone calls, either directly or from the switchboard. Follows through with the request or directs the request as appropriate.
Processes all incoming referrals and ensures that a referral is attached to all scheduled visits for which a referral is required.
Obtains pre authorization for all services that require pre authorization.
Uses appropriate company procedures, referring doctors and correct protocols for writing referrals.
Schedules referral appointments with specialists, hospital testing, and lab work.
Checks out patients from the office. Collects payments and schedules follow up appointments or specialty appointments as appropriate.
Sends orders to Home Health agencies, nursing facilities, Home Medical Equipment and other vendors as necessary.
Prepares letters from department physicians to insurance companies, patient employers, or as directed.
Handles incoming and outgoing mail by opening, sorting and prioritizing appropriately.
Monitors inventory levels and orders equipment and office supplies.
Balances all user batches as assigned for daily payments received.
Maintains providers schedules, optimizing effective scheduling of appointments.
Ensures confidentiality of employee, legal, client, budget, and all other company matters.
Assists in developing and implementing systems to support effective and accurate registration of patients.
Makes recommendations to increase efficiency of patient care or administrative functioning of area.
Education/Experience/Licensure
Education: High School Diploma or equivalent required. Some college preferred.
Experience: Previous experience in a health care setting performing similar functions preferred.
Certification/Licensure:N/A
Software/Hardware: Proficient in MS Office.
