Job Overview
We are seeking a detail-oriented and proactive Operations Administrator to join our team. The ideal candidate will play a crucial role in ensuring smooth day-to-day operations and maintaining organized records. This position requires strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently. We are a small Venture Capital Firm specializing in Finance and Real Estate corporations. Operations Administrator must have a competency and background in legal accounting and organizational structures. You will work directly with the CEO arranging and completing tasks. Position will ideally grow into director of operations.
Responsibilities
- Perform data entry with accuracy and attention to detail
- Managing out of state investments, project and property management
- Stay up to date on all city correspondence and property matters/needs
- Assist with all correspondence regarding property rehabilitation, refinance
- Follow up on all pre-qualification appointments/requests
- Draft, review, and send communications on behalf of executive
- Answer and respond to emails, phone calls, communicate messages and information to the executive in a timely manner
- Develop and maintain organized files and documentation using Google Suite system for reports and other documents
- Provide excellent customer service by assisting clients with their needs and inquiries
- Spearhead projects and follow up to make sure all tasks are completed in a timely fashion and projects remain on task
- Light Licensing, Compliance and reporting projects
- Create contracts, drafts amendments for Acquisitions and negotiations to ensure timely completion
- Real Estate and Finance Basic Knowledge is a must
Experience
- Proven experience in an administrative role, preferably within an operations or customer service environment.
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficiency in QuickBooks and Google Suite applications
- Familiarity with legal accounting and organizational structures and effective communication techniques
- Excellent time management skills to handle multiple responsibilities efficiently
