Key Responsibilities:
Project Management:
Lead and coordinate cross-functional projects from inception to execution, ensuring timely delivery and quality results.
Develop detailed project plans, monitor progress, manage risks, and report status updates to senior management.
Executive Assistance:
Provide high-level administrative support including scheduling, travel coordination, meeting preparation, and correspondence management across multiple time zones.
Act as a trusted liaison between executive leadership and global partners.
Accounting & Financial Oversight:
Oversee financial tracking, budgeting, and expense reporting; ensure all financial records are meticulously maintained.
Use advanced Excel capabilities to analyze data, generate forecasts, and create financial models that support business decisions.
Excel Sheet Warrior:
Create, manage, and optimize complex spreadsheets to streamline operations and improve data visibility.
Develop automated solutions and dashboards that inform strategy and operational efficiency.
Global Travel & Logistics Coordination:
Manage frequent international travel logistics between Los Angeles, Guangzhou, and various global destinations.
Ensure seamless coordination with local teams and international partners, adapting to diverse cultural and business environments.
Qualifications:
- Proven experience in project management, executive assistance, and accounting – ideally within import/export or luxury goods industries.
- Exceptional proficiency in Microsoft Excel; experience with advanced functions, macros, and data visualization tools is a must.
- Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent interpersonal and communication skills, with experience working across diverse cultures.
- Willingness and ability to maintain a bi-continental lifestyle and travel extensively.
- Bachelor's degree in Business Administration, Finance, or a related field; relevant certifications (e.g., PMP, CPA) are a plus.
