JOB SUMMARY: The Event Coordinator role is a non-exempt salaried position responsible for supporting the Community Impact department in an administrative capacity
Reporting to the Director of Community Impact, this role works independently on a regular basis and collaboratively with other members of the Community Impact team as well as with other departments as needed.
Essential Duties and Responsibilities:
Event Management
- Lead planning, coordination, calendar management, process improvement, evaluation, and project management for all events, including webinars, conferences,
- Lead conference program operations for conferences, including full conference run of show, all speaker management including audio/visual needs, special presentations, and emcee script(s)
- Manage speaker relations: including regular communication leading up to event, speaker preparations, deliverables, and VIP reception (as relevant)
- Support preparation of event cycle components, including strategy, event launch plan, evaluation, and debrief
- Provide technical support for live webinars and webinar rehearsals
Short Programs
- Manage the implementation of internal and external short programs, including but not limited to scheduling, event logistics, student communication, and technical support
- Work with subject matter experts and marketing team to develop compelling webinar descriptions and marketing plans that increase registration
- Document and implement protocols, and strategies for short programs based on best practices
- Support facilitator relations, including regular communication leading up to event, facilitator preparation, technology run-throughs, etc.
- Review the Community Impact Administrator’s involvement with marketing and communication materials.
- Develop SOPs for key department functions
- Collect and analyze program data for key programs and projects and support deeper analysis of short program training data.
- Prepare reports to present findings and make recommendations to improve efficiency and efficacy of programs and workflows
Scholarships
- Review scholarship applications and determine approval/denial
- Record application submissions received in Salesforce in the Scholarship Tracking spreadsheet daily
- Support scholarship lead as needed
Required Knowledge, Skills, and Abilities:
· Demonstrated ability to effectively interact with people of diverse races, cultures, genders, disability statuses, and other identities and backgrounds
· Excellent and adaptable English communication skills, including written, interpersonal, public speaking, and other forms
· The ability to manage multiple priorities and demanding timeframes
· Careful attention to detail and organizational and project management skills
· Sophisticated data analysis and reporting skills
· Ability to work with cross-functional teams to set and achieve goals
· Proficient with Microsoft Office (specifically excel) Zoom, Salesforce
· Entrepreneurial spirit with creative approaches to event marketing, sales, and outreach
Education & Experience (preferred but not required):
· Bachelor's degree in related field or;
· Multi-lingual or multi-cultural background.

Salary : $48,000 - $55,000
