As the Office Manager for RCA you act as an RCA team "concierge" and be responsible for the oversight of the general working of RCA Facilities & day to day functions. You may also be asked to provide executive administration support as required. Office management locations include RCA's LA Headquarters (Culver City / LA) and the RCA NYC office (25 Madison); and in addition liaise with the RCA studio (Culver City / LA). You will report to the COO RCA Records and must be based in Los Angeles. This is not a remote position and will require onsite presence 5 days a week.
What you'll do :
- Oversee the overall operations and efficiency of the NY and LA RCA offices and studio conjointly with the studio manager; Serving as direct liaison for coordinating label visits, creating guest passes / liasoning with respective security teams and follow visitor protocols, greeting guests, managing and setting up conference room space for meetings
- Day to day communications and technology assistance in running meetings via Zoom, audio playbacks etc; Must liaise with IT, facilities, and A / V to ensure day to day operations run smoothly
- Manage office and studio floor plans - ensure accuracy of allocation charges, manage space allocations and create setup for all new employees. Oversee and manage all aspects of employee moves
- Serve as point of contact for NY and LA-based staff as relates to Sony facilities regarding building policies and work to be done or maintenance issues; IT regarding purchased employee equipment; Liasoning with LA based Sr Dir of Facilities and 25 Madison building operations manager; other vendors as needed
- Serve as 'New Hire' employee onboarding facilitator
- Order office supplies for the offices, studio and staff needs
- Distribute mail throughout office and coordinate outgoing mail ie. purchasing labels, shipping boxes, managing FedEx / USPS / Amazon accounts
- Manage invoicing and finances for office related expenditures
- On site coordination of RCA events and meetings; e.g. international meetings, artist showcases & playbacks, and staff team events. In addition, external event coordination as required (To note : RCA employees block travel around festivals & events)
- Work closely with finance on budgeting and researching travel / event options (venues, location sites, transportation, catering, permits as necessary, etc.), develop proposal and make recommendations, select vendors and sign contracts ensuring competitive pricing and oversee execution
- Liaise with internal Tour Marketing Department on administering artist & employee travel expenses and bookings
- Build and maintain relationships with SME executives, RCA artist management teams
- Temporary executive administrative support as required

The anticipated annual base salary does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and / or from which they will be performing the job. California Pay Range $68,700—$75,000 USD
