Private family is seeking to hire an experienced Estate Manager to oversee the day-to-day operations, maintenance, and overall management of luxury residential properties in Ohio. Reporting to the Chief of Operations and working closely with the senior family office team, this position will manage the family's multi-property estate in Northeast Ohio. This leadership role will oversee other staff members, including house managers, housekeeping, maintenance, and external vendors. You will be a crucial leader of a collaborative and interactive team. This position is ideal for someone adaptable, committed, and experienced in managing large teams who can confidently uphold standards while effectively guiding staff. The ideal candidate will lead by example by catering to the family and guests with the highest levels of hospitality and service. This position will oversee all maintenance and upkeep of the interior and exterior of the principals’ primary residential properties. As the leader, you will meet regularly with the Chief of Operations to provide updates, anticipate needs, and align priorities. The role will require flexibility in working hours, including evenings, weekends, and holidays, to meet the needs of residents and property operations/or events.
Responsibilities:
- 360-degree oversight of the residential properties in Northeast Ohio
- Serve as the primary point of contact for the family office regarding properties.
- Manage, evaluate, and develop current staff, primarily property caretakers. Vet and onboard new staff as needed.
- Enhance operations to best-in-class standards.
- Coordinate and strengthen relationships with vendors and contractors.
- Proactive preventative maintenance and project management. Ensure all systems are performing to optimal levels.
- Solicit and analyze bids from contractors for repairs, renovations, and maintenance. Provide oversight and direction on all related activities.
- Manage protocols and procedures for each property.
- Create and update household manuals, inventories, and annual calendars.
- Ensure property readiness for principals and guests.
- Conduct regular property inspections to identify and address maintenance needs.
- Coordinate and supervise repairs, renovations, and other property improvements.
- Maintain accurate electronic records and documentation related to property management.
- Manage detailed to do lists and update principals on regular basis.
- Oversee and manage events.
Qualifications and Personal Requirements:
- A minimum of 5 years of experience in a similar role for luxury or high-end residences, managing multiple single-family and guest homes in several locations.
- Proven track record of managing high-end residential properties and delivering exceptional customer service.
- Experience leading a highly collaborative team of ten or more staff and managing third-party caretakers and contractors. Proven experience managing external vendors for related property maintenance.

- Fluent in both Mac and PC operating systems.
- Fluent in household smart systems (Lutron, Savant, Control4)
- Spanish speaking a plus
- Ability to pass extensive background check
