The Opportunity:
We are seeking a detail-oriented and organized individual to join our team as a Donation Processing and Administrative Coordinator. This in-office, full-time role is essential to ensuring the smooth handling of donations, maintaining accurate donor records, and providing exceptional administrative support to the team. The ideal candidate will have excellent organizational skills, a strong customer service orientation, proficiency with donor management software, and bookkeeping experience is a plus.
Key responsibilities:
Gift Entry and Maintenance:
- Accurately process incoming donations and enter gifts into the donor database (FRNow).
- Ensure timely and accurate donor acknowledgments, including preparation and mailing of thank-you letters or receipts.
- Reconcile donation records with financial systems as needed.
Database Management
- Update and maintain records in FRNow.
- Support batch updates and data imports from the grant tracker tool.
- Perform regular data clean-up to ensure accuracy and completeness of donor information.
Administrative and Office Support:
- Respond to incoming calls, emails and provide professional, courteous assistance to donors, partners, and other stakeholders.
- Manage general office duties, such as filing, organizing, and ordering supplies.
- Provide support for fundraising mailings, campaigns, and special projects as needed.
Communication and Donor Relations:
- Respond promptly to donor inquiries, ensuring a positive experience.
- Collaborate with the team to execute donor mailings and improve processes for donor engagement and acknowledgment.

Qualifications:
Required:
- 2-3 years' experience in data entry, administrative support, or a similar role, preferably in a nonprofit environment.
- Proficiency with donor management software (experience with FRnow or Salesforce is a plus)
- Strong attention to detail and accuracy in data management.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle sensitive donor information with confidentiality and professionalism.
Preferred:
- Familiarity with grant tracking tools and processes.
- Experience in donor relations or fundraising support.
- Proficiency in Microsoft Office Suite and other administrative tools.
- Bookkeeping experience is a plus.
This is a full-time, in-office position based in our Washington, DC office.

Salary : $50,000 - $55,000
