Key Responsibilities
- Prepare, update, and maintain medical referral information for each patient ensuring accuracy in the electronic health record.
- Support outside provider recruitment as liaison between providers and government customer.
- Maintain a system of records for tracking purposes, referencing documentation for Provider Network support.
- Coordinate durable medical equipment purchase or rental for detainees in custody.
- Contact off-site community medical providers to schedule appointments based on provider referrals and document specific appointment dates in the eHR.
- Track compliance with scheduled patient appointments, sending timely reminder notices or calls to off-site facilities and government customer staff when applicable.
- Coordinate transportation with custody transport staff for scheduled off-site medical appointments, creating sealed medical packets containing pertinent documentation.
- File and scan laboratory, radiology, and other reports in the electronic medical record upon patient return from off-site visits.
- Route clinical reports to clinic staff within prescribed timelines.
- Correspond with off-site medical facilities and Provider network providers to request pertinent medical information for the medical record using approved forms.
- Track requests, perform follow-up, and ensure receipt of requested information.
- Handle all correspondence requiring authorizations for payment of medical services.
- Review documentation for completeness, routing incomplete documents to the appropriate provider for correction before placing/scanning in the medical record.
- Receive and process requests for information according to Fair Information Practice Principles and Privacy Act regulations.
- Utilize multiple systems to process narrative and tabular material (e.g., eHR systems, email correspondence, Excel data, Enterprise Business Optimizer reports) to prepare, update, and maintain medical records and provide required information to medical personnel.
- Complete reports to ensure correct referrals transmission to the VA system for payment, correcting any errors found.
- Assist in reconciling and resolving denied outside provider claims.
- Perform record-keeping functions in accordance with program policies and position requirements.
- Maintain functional proficiency and ease of use in electronic health records and referrals.
- Complete and pass initial, annual, and ad-hoc training as required/assigned.
