SOS Care is seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. This role is essential in managing schedules, coordinating appointments to include handling cancellation phone calls from staff and families, responding to families' inquiries, and ensuring efficient office operations. The ideal candidate will possess strong administrative skills and demonstrate exceptional phone etiquette while providing excellent customer support.
The ABA Scheduling Coordinator plays a crucial role in ensuring the smooth operation of our ABA Clinic by managing the entire scheduling process.
Primary Responsibilities and Specific Duties:
· Scheduling and Appointment Management:
o Coordinate and schedule participant therapy sessions, ensuring therapists' availability and participant preferences are considered.
o Maximize the schedule to ensure that all participants receive the recommended number of weekly therapy hours.
o Work closely with the ABA leadership team to optimize ABA therapist schedules and maintain an efficient workflow.
· Cancellation Management:
o Handle incoming phone calls and emails related to appointment cancellations, rescheduling, or adjustments to therapy schedules.
o Communicate cancellation policies to participants and work to minimize disruptions to therapy services.
· Family Communication:
o Serve as a point of contact for families with questions regarding ABA services, including general information about therapy, policies, and insurance inquiries.
o In partnership with the ABA Program Manager and Clinical Director, review waitlist to determine the next individuals to begin therapy services.
o In partnership with the BCBA, inform families when they are being moved off the waitlist and transitioned into active therapy services and ensure schedule is updated and communicated as necessary.
· Administrative Support:
o Assist with any other administrative tasks as needed, including maintaining family records, data entry, and supporting ABA leadership team in daily operations
SOS Care Expectations:
o Ensure confidentiality of all participant information and files in adherence to HIPAA laws.
o Follow all rules and guidelines as presented in the SOS Care Policy manual.
o Maintain open communication with the ABA Program Manager
o Demonstrate all SOS Care Core Values.
o Attend Level 10 meetings as required.
Requirements:
- Previous experience in scheduling, customer service, or administrative support, preferably in a healthcare or therapeutic setting.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and work in a fast-paced environment.
- Empathetic, professional, and supportive demeanor when interacting with families.
- Familiarity with ABA therapy and understanding of the needs of families receiving behavioral therapy services.
- Proven experience in an administrative or clerical role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent proofreading abilities to ensure high-quality documentation.
- Proficient in computer software applications, including Microsoft Office Suite.
- Exceptional phone etiquette and customer service skills are essential.
- Ability to work independently as well as collaboratively within a team environment.
- Previous experience as a personal assistant or in office management is advantageous.
- High school diploma or equivalent; some college education preferred.
Work Hours:
- Part-time position, up to 10 hours per week as needed. **May increase upon need**
- Flexibility in scheduling is available, with some evening or weekend shifts possible depending on clinic needs.
- Early morning and afternoon hours are required M-F to meet the needs of potential staff or participant cancellations.
