We are seeking a dedicated and experienced Medical Office Manager to oversee the daily operations of our medical office. The ideal candidate will possess strong leadership skills and a comprehensive understanding of medical office management, including financial management, practice management, and compliance with healthcare regulations. This role is crucial in ensuring that our office runs smoothly and efficiently while providing exceptional service to our patients.
- Responsibilities
- Coordinate and organize office activities
- Coordinate office mail
- Coordinate with insurance providers-ensure proper coverage, co-pays, PAs
- Assist patients with paperwork as necessary
- Respond to phone calls, emails and inquiries with professionalism and empathy
- Educate patient on treatment options, policies and procedures
- Work with staff to ensure seamless coordination of care
- Provide administrative assistance to clinicians during TMS and ketamine sessions
- Manage office supplies, inventory and equipment maintenance
- Implement and improve office processes
- Assistant social media post and information
- Compiled patient outcome data in excel, etc...
- Assist physician with ongoing licensing and credentialing
- Review progress and procedure notes and instruments 3 minutes to ensure proper billing and reimbursement
- Performed patient care as needed (training provided)
- Office HR
- Work with community programs to educate and build patient base
- Manage budgets, monitor expenses, and implement cost-saving measures.
- Coordinate practice management activities, including scheduling, billing, and patient communications.
- Maintain accurate financial records and reports related to office operations.
- Foster a positive work environment that encourages teamwork and professional development among staff.
- Address patient inquiries and concerns in a timely manner to enhance patient satisfaction.
- Collaborate with healthcare providers to improve operational efficiency and patient care quality.
Requirements
- Proven experience in medical office management or a similar role.
- Strong knowledge of budgeting, financial management, and practice management principles.
- Familiarity with electronic health record systems
- Excellent supervisory skills with the ability to lead a diverse team effectively.
- In-depth understanding of healthcare standards and regulations.
- Exceptional organizational skills with attention to detail.
- Strong communication skills, both verbal and written.
- Ability to manage multiple tasks in a fast-paced environment while maintaining professionalism.
