The purpose of the position is to coordinate administrative functions for the Resilience Division. Primary coordinator for Resilience Division travel and small item procurements. Assists the Resilience Division Director in coordinating and implementing division level activities, functions, and events. Assist in maintaining files and records. Assist in the event scheduling and logistics. The job duties of this position include but are not limited to the following:

  • Take charge of identifying, sourcing, and purchasing all small items and supplies required by the Resilience Division. Ensure the timely acquisition of essential materials while adhering to procurement policies and budget constraints. Maintain a well-organized inventory of supplies and prompt restocking. Oversee all aspects of travel coordination for the Resilience Division, including booking flights, accommodations, transportation, and itineraries. Ensure that all travel arrangements align with company policies and budgetary considerations.
  • Maintain accurate and organized records for the Resilience Division, including but not limited to correspondence, reports, meeting minutes, project documentation, and financial records. Ensure that the division's record-keeping practices comply with relevant regulations, standards, and best practices. Stay informed about changes in record management policies and procedures and update division practices accordingly.
  • Manage the distribution of correspondence within the division and to external stakeholders. Ensure that all communication reaches the intended recipients in a timely manner as directed by the Resilience Director.
  • Other duties as assigned.
Minimum and Additional Requirements

A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.


ADDITIONAL REQUIREMENTS:

  • Knowledge of agency policies, procedures, rules, regulations, and program services.
  • Knowledge of governmental fiscal and personnel procedures, practices, and policies.
  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to plan, organize and supervise the work of subordinate personnel. Ability to communicate effectively.
  • Must have and maintain a valid driver’s license.

Salary : $38,985 - $55,559
