What are the responsibilities and job description for the Quality Improvement Specialist position at South Community Behavioral Health Care?
General Summary:
The Quality Improvement Information Specialist position will involve participation in all aspects of the Quality Department structure and function providing data support and management, report monitoring and trainings. This position will also provide critical support and coverage for the Medical Records Department. This position reports to the Manager of Quality Improvement.
Principal Duties and Responsibilities:
1. Review and monitor various Quality grids/lists i.e. clinical trainers, health officers, HIPAA BAA’s, and incident minutes to maintain the most recent information and resolve any data incongruities.
2. Support Quality Indicator data analysis and reporting process.
3. Enter quarterly quality data information into the Montgomery County ADAMHS Board reporting portal.
4. Track and provide follow up on varied reports (e.g., “Clients without primaries assigned” and “Clients assigned to terminated staff”).
5. Internet searches for Quality Department (e.g., ODMH Standards, Legislative Actions).
6. Present or co-present Quality related trainings (e.g., New Staff Orientation, New manager Quality report trainings). Support 1:1 training as needed (e.g., eBasis, Basis 24, POC).
7. Provide general support activities and assistance to Quality department including agency forms revisions, developing drafts of “all staff” and Quality Communication memos/ newsletters.
8. Assist with form development, revisions and ensuring rollout and ensuring publishing has been completed.
9. Help maintain the Agency Policy and Procedure Manual and support compliance with accreditation/credentialing requirements.
10. Participate as a QI Department liaison for designated improvement teams/committees.
11. Serve as chair of the Safety Committee and maintain compliance of regulatory requirements.
12. Support Wellness Committee activities (e.g., assist with healthy vending machine orders, stocking and wellness committee prize purchases).
13. Monitor and triage Health Information Exchange (HIE) (OPTUM) client information to the appropriate staff for follow up.
14. Assist with Quality Department Newsletter.
15. Support Medical Records Department by:
- Assisting with clients who arrive requesting their records. Get forms signed and begin process, complete the NOD form.
- Assist with chart closures.
- Assist with e-HR records disclosure tracking processes
- Assist with copies of records for courts/subpoenas/disability requests etc.
- Assist with HIPAA related incidents, doing risk analysis
- Assist with review of potential email violations
- Assist with scanning records received from health care businesses, attorneys, MCP review requests etc.
- Cross train for HIPAA orientation presentations
- Cover Medical Records department when PTO occurs
16. Cross train with the Administrative Assistant and assume Quality-related duties as needed (e.g., PTO).
17. Contact clients and former clients for quality related feedback to services and record the information to assist in reporting.
18. Other duties as requested by supervisor.

9. Returns phone calls within 24 hours and responds to emails in a timely fashion. Responds to all communication professionally and appropriately. Provides excellent

10. Exhibits a willingness to cooperate, internally and with external providers to accomplish tasks utilizing conflict resolution appropriately.
11. Exhibits competency with computer programming to meet job requirements related to position including on-line training.
12. Ability to complete assignments on time and demonstrates reliability and dependability.
13. Follows through with emergency action plans, provides support and facilitates linkage to appropriate staff members.
14. Promotes facility attractiveness, cleanliness, security and safety. Reports problems promptly to ensure resolution of safety.

16. Adheres to all applicable agency policies and procedures, code of ethics and report any improper ethical conduct to the Corporate Compliance Officer.
