Job Summary
The Bookkeeper/Office Manager at South Jersey Water Conditioning Service LLC serves as a key member of the leadership team. This position oversees both the administrative and financial operations of the company, ensuring the smooth functioning of the office environment. The Office Manager handles all finance-related activities, including bookkeeping, payroll, and accounts management, and provides exceptional customer service while managing personnel effectively.

Responsibilities

  • Administrative Oversight:
  • Serve as the Chief Administrative Officer for the organization and participate in leadership team decision-making.

Financial Management (Bookkeeping Duties):

  • Oversee financial operations, including invoicing, billing, payroll and expense tracking.
  • Maintain the company’s general ledger, ensuring accuracy and compliance with financial regulations.
  • Administer accounts payable and receivable, including vendor payments and customer billing.
  • Prepare financial reports and ensure compliance with tax regulations.
  • Assist with budgeting and forecasting to support the company's financial planning.
  • Provide financial documentation and support for audits and reviews.

Customer Service:

  • Oversee initiatives and functions to deliver exceptional customer service and ensure effective management of administrative personnel.
  • Address and resolve customer issues or complaints, escalating complex issues as necessary to maintain high service standards.

Leadership and Team Support:

  • Serve as a servant leader, fostering a collaborative work environment and supporting team members in achieving their goals.
  • Participate in leadership team meetings to provide input on administrative and financial matters.
  • Support other departments to facilitate communication and streamline operations.
  • Stay up-to-date with industry trends and best practices related to office management and financial operations.

Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.
  • Manual dexterity to operate a computer and handle paperwork.
  • Visual acuity for reading documents and financial reports.
  • Ability to lift and carry objects weighing up to 50 pounds occasionally.

Qualifications:

  • High school diploma or equivalent required; Associate degree in business administration, accounting, human resources, or a related field preferred.
  • Proven experience in office management, financial management, and payroll.
  • A minimum of 3 years of supervisory experience is required.
  • Strong organizational and time management skills.
  • Proficiency in QuickBooks, Microsoft Office Suite, and payroll systems.
  • Excellent communication and leadership abilities.
  • Commitment to delivering exceptional customer service and effective personnel management.
  • Manage daily administrative tasks including answering phones, responding to emails, and handling correspondence.
  • Coordinate appointments, meetings, and travel arrangements for staff and management.
  • Maintain office supplies inventory, handle vendor relations, and oversee office equipment and facilities.
  • Supervise administrative staff and delegate HR-related tasks, ensuring the Assistant Office Manager manages payroll and HR functions.
  • Develops and implements effective succession planning strategies to ensure seamless continuity of administrative operations and minimize disruptions in the event of staff transitions.
  • Implement and maintain office management systems and procedures to improve office efficiency.
  • Handle customer inquiries and provide timely, professional assistance.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
